Position Overview:

We are seeking an experienced Administrative Assistant to join our team. The ideal candidate will play a vital role in maintaining the smooth operation of our office, acting as the first point of contact for clients and ensuring all administrative tasks are handled efficiently. This position offers the opportunity to work in a collaborative environment where initiative and attention to detail are highly valued.


Responsibilities:

  • Serve as the primary point of contact for clients, answering phones and responding to emails promptly and professionally.
  • Assist clients with documentation processes when visiting our office.
  • Schedule appointments for clients to meet with our in-house CPA or tax coordinator.
  • Correspond with potential new clients to schedule consultations.
  • Update and maintain client information in our CRM system.
  • Assist in distributing external mail during designated periods.
  • Compile tax or bookkeeping information for submission.
  • Scan, organize and file documents.
  • Arrange for document shipping or pickup.
  • Receive and file client documents.
  • Prepare preliminary and finalize payroll reports based on client-provided information.


Requirements:

  • Previous clerical or administrative experience, preferably in a law practice or CPA firm.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in MS Office and CRM software.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Bookkeeping experience is a plus.
