The Office Manager position will be a part-time position located on-site at our corporate Headquarters in Vienna, VA. Days will typically be Tues through Thurs 9am -2pm.
Responsibilities:
- Overseeing the day-to-day operations of the office, including managing schedules, appointments, and office supplies.
- Receiving/shipping laptops to employees.
- Coordinating office maintenance and repairs, as well as ensuring a clean and organized workspace.
- Coordinating employee training and development opportunities.
- Supporting HR with employee relations and ensuring compliance with company policies.
- Acting as a liaison between different departments, employees, and external parties.
- Managing incoming and outgoing communications, such as phone calls, emails, and mail.
- Overseeing office technology and equipment, including computers, printers, and other office machinery.
- Coordinating with IT support for technical issues and upgrades.
- Planning and organizing company events, meetings, and conferences.
- Managing logistics such as room reservations, catering, and equipment setup.
- Managing office supplies and inventory, ensuring adequate stock levels and cost-effective procurement.
- Negotiating with vendors and suppliers for better deals and services.
- Ensuring a safe work environment by implementing safety protocols and addressing any safety concerns.
- Coordinating with security personnel and maintaining access control measures.
- Assisting with the planning, coordination, and execution of office-related projects.
- Monitoring project progress and ensuring timely completion.
Halvik's pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
