The Associated Students of CSU, Chico is recruiting for Event and Program Assistant. This is a full-time, 11-month (1900 hours), non-exempt position. The pay range for this position is $18.00 to $20.00/hr; new hires typically start at the beginning of the range. The anticipated schedule for this position is typically Monday through Friday, 40 hours per week, though it is also dependent on events therefore will include nights and weekends. The schedule is subject to change based on operational needs.

The Associated Students (AS) is a comprehensive campus auxiliary corporation of CSU,Chico serving thousands of students, faculty, staff and community members through myriad student programs, services and business enterprises. With an annual budget of more than $21M, the AS operates residential and retail dining services, the Bell Memorial Union, the Wildcat Recreation Center (WREC), and administers the contract for the Wildcat Store (bookstore). Additionally, the AS offers a wide variety of services and programs such as: CAVE (Community Action Volunteers in Education), Child Development Lab, Adventure Outings, Sustainability and student government. EVENT AND PROGRAM ASSISTANT

SUMMARY

Under general direction of the Event and Program Manager, this position provides support to the Associated Students events team programs. Certain duties and assignments are fluid and are periodically reviewed and revised based on program needs, program philosophy, and staff development.

ESSENTIAL FUNCTIONS
  • Assists with the coordination of campus-wide, individual AS and collaborative events on behalf of the Associated Students.
  • Assists with researching programs concepts to meet the educational and cultural needs of the student body.
  • Assists with collection of feedback for assessment including the compilation and reporting of student engagement, feedback, and participation in AS events. Supports the capturing of event data to ensure outreach efforts and programs are high quality, well attended, student-centered experiences and meet AS branding standards.
  • Organizes supporting documentation, event data and maintains records and workflows.
  • Assists with inventory organization including program supplies and resources.
  • Assists with online outreach, maintaining accurate information on external organizational calendars and campus-wide sites.
  • Represents Associated Students in contacts with the campus community, the public, and other organizations.
  • Provides coverage as needed in the absence of student ambassadors, which could include tabling, promotional outreach, etc.
  • Assists with special projects as needed.
  • Other related duties may be assigned.

TYPICAL WORKING CONDITIONS

Work is performed in an office and student union building environment; some work is conducted in an outdoor environment with exposure to wide variations in temperature and weather conditions; continuous contact with staff, campus community, and public. Days and hours of work depend on programming.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIREMENTS
  • Event planning procedures related to student-centered programs.
  • Working knowledge and use of technology including computer systems and software applications, such as Microsoft Word, Excel, and others related to office support and administrative functions.
  • Organizational and communication skills including filing methods and record-keeping systems to maintain compliance.
  • Policies, procedures, and practices of the assigned area.
  • Project management software (such as Asana or Trello) is preferred.
  • Perform a variety of program support assignments, including day-of event coordination.
  • Track target dates, pay attention to details, and demonstrate flexibility.
  • Foster creative promotion and programming ideas to enhance all AS Events.
  • Work in a team environment and in an open, collaborative space.
  • Work well under pressure: meeting multiple and sometimes competing deadlines.
  • Prepare documents with accuracy and timeliness.
  • Follow oral and written directions.
  • Prepare and review assessment data for AS programs and events.
  • Develop and maintain effective working relationships with the campus community, public, co-workers, and those contacted during the course of work.
  • Take initiative and work autonomously once guidelines are established.

MINIMUM EDUCATION and EXPERIENCE REQUIREMENTS
  • One (1) year* of professional (paid or curriculum-based) experience in student activities operations/logistics involving the general knowledge of student programming.
  • Preference given to candidates seeking capstone credit fulfillment through the Department of Recreation, Hospitality, & Parks Management at Chico State.
  • Preference given to applicants with previous experience in events planning, and event promotion.
*For the purposes of this position, one (1) year equals 40 hours/week experience. Part-time positions (=/< 20 hours/week) will be evaluated by hours worked per week.
