Job Summary:

Day of Details is seeking a highly organized and detail-oriented Weekend Event/Wedding Coordinator to oversee and execute events, ensuring they run smoothly from start to finish. The ideal candidate will have excellent communication and problem-solving skills, a passion for event planning, and the ability to remain calm under pressure. The Day of Event Coordinator will work closely with clients, vendors, and event staff to ensure a seamless and memorable experience for all attendees.

Key Responsibilities:

  • Pre-Event Preparation:
    • Review event plans and timelines with clients and event planners.
    • Conduct site visits and walkthroughs to confirm event setup requirements.
    • Coordinate with vendors to confirm delivery times, setup details, and service expectations.
    • Prepare and organize event materials, such as seating charts, place cards, and signage.
  • Day-of Event Management:
    • Arrive early to supervise the setup and ensure all details align with the event plan.
    • Serve as the main point of contact for clients, vendors, and event staff.
    • Oversee the event timeline and ensure all activities occur as scheduled.
    • Manage and troubleshoot any issues or emergencies that arise during the event.
    • Coordinate with catering staff, entertainers, and other service providers to ensure smooth operations.
    • Facilitate guest experiences, including welcoming guests, managing RSVPs, and addressing any special needs or requests.
  • Post-Event Duties:
    • Supervise event breakdown and cleanup to ensure the venue is left in good condition.
    • Conduct a post-event review to assess the success of the event and identify areas for improvement.
    • Collect feedback from clients and vendors to refine future event processes.

Qualifications:

  • Education: High school diploma or equivalent required; Bachelor's degree in Event Management, Hospitality, or a related field preferred.
  • Experience: Minimum of 2 years of experience in event planning, coordination, or a related field.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent verbal and written communication skills.
    • Ability to stay calm and make quick decisions under pressure.
    • Strong problem-solving skills and attention to detail.
    • Proficiency with event management software and tools.

Availability:

  • Must be available to work weekends, evenings and holidays as required by event schedules.

Physical Requirements:

  • Ability to stand and walk for extended periods.
  • Ability to lift and carry up to 25 pounds.

Compensation:

  • Pay Range: $45 - $60 per hour, based on experience and qualifications.
  • Benefits: This is a part-time freelance position and does not include benefits. All events are in-person.
