Registration Coordinator

Job Description:

Our client, the Raleigh Chamber is looking for a Registration Coordinator This position provides event registration support, sponsorship outreach and fulfillment support, and event related clerical support for all Raleigh Chamber events. This employee interacts with a diverse group of attendees and sponsor contacts, from nonmembers to top member investors, as well as internal contacts at all levels of the organization. Independent judgment and a strong task-oriented drive, combined with an aptitude for attention to detail are required to plan, prioritize, and organize workload for successful event registration management. This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. This employee will be asked to assist at Chamber events and meetings outside of standard office hours, as early as 6 a.m. and rarely, although occasionally, as late as 8 p.m. Flextime and flexplace arrangements are available.

Responsibilities:

  • Manage event registrations using the Chambers CRM software. Accurately link event registrations to existing member profiles and set up new profiles as needed.
  • Create event registrations for sponsors, speakers, staff, and other complimentary attendees in both CRM and all virtual meeting or conference platforms.
  • Entry of seating/table assignments, and record and notate dietary restrictions.
  • Prepare registration lists and nametags for events.
  • Entry of all event attendance.
  • Manage registration desk for events, accept on-site registration, accept payment for, and/or send invoice requests to Accounts Receivable, and keep accurate attendance records using the Chambers CRM software.
  • Manage and execute sponsorship benefits outreach and fulfillment as outlined in the sponsorship opportunities booklet.
  • Follow up on unpaid registrations for all Chamber events.
  • Complete refund request for attendees as needed.
  • Maintain and update demographical information for all sponsor guests, current, and new employees of member firms.
  • Collect and update all image web content via Chambers CRM Software for featured sponsors on Chamber webpage.
  • Assist Database Manager; Vice President of Information Technology with their assigned tasks as directed.
  • Respond to regularly occurring requests for information.
  • Other Duties as assigned.

Education Requirements:

  • High school diploma.
  • Associates degree preferred.

Desired Background/Skills:

  • One year of administrative assistant experience.
  • Two years of related experience
  • Prior experience with project management software such as Basecamp, Zoho or iMeetCentral
  • Prior experience with customer relationship management software such as Salesforce, Blackbaud or Apptivo.

Qualifications:

  • Ability to manage invoices using a chart of accounts and track minor expenses in a Microsoft Excel
  • Proficiency in Microsoft Word, Excel and Outlook.
