RESPONSIBILITIES:
- Ensure adherence to credit and collection policies in all hotel departments.
- Collaborate with Sales, Banquets, and Front Office teams regularly.
- Evaluate Credit/Accounts Receivable processes, suggesting and implementing enhancements.
- Investigate and resolve guest inquiries via fax, phone, and email.
- Timely billing for F.I.T and Airlines.
- Validate AR accounts with approved credit applications. Chase overdue payments.
- Address Chargebacks promptly and reconcile monthly.
- Supervise Turnover distributions and compile Group/Catering billing files.
- Attend Group Resume and Pre-Conference meetings.
- Ensure accurate posting of banquet checks. Prepare Catering function billing.
- Handle refund and adjustment documentation daily.
- Assist with Rewards Club Reimbursements.
- Support month-end close, folio closure, and PMS.
- Receive and post deposits for future events. Review and balance Deposit and Guest ledgers.
- Monitor monthly aging of accounts. Send statements and collection letters for overdue accounts.
- Process direct billing requests for Credit Manager review.
- Generate bills and mail invoice statements as per Internal Audit Standard.
- Organize accounting and audit files. Assist with clerical tasks like typing or phone coverage.
- Maintain standard controls for asset protection.
- Foster teamwork and quality service through departmental communication.
- Assist with additional accounting tasks and financial control compliance.
- Complete other duties as necessary.
Qualifications:
Bachelor's degree preferred, with 3-year experience in accounting, front office, or reservations; or equivalent work experience. Fluent English proficiency required.
Physical Demands:
- Lifting items up to 25 pounds
- Walking and standing in designated areas
- Interacting with others
- Handling objects and supplies
- Performing bending, stooping, kneeling, reaching tasks
Additional:
- Regular reading of invoices and work materials.
- Preferred knowledge of Opera PMS, Delphi, and Micros POS.
- Regular use of mathematical skills for calculations and reconciliation.
- Frequently interacting with guests and clients for billing inquiries. Strong customer service skills are essential.
- Some shifts may include nights, weekends, or holidays.
