Basic Functions and Scope of Job:


The Spare Parts Administrator is responsible for executing the quote-to-cash process for Modula spare parts sales by preparing quotes, managing orders and other spare parts flow-related activities and work towards customer satisfaction.

Key Responsibilities and Accountabilities

  • Manage customer requests for spare parts
  • Prepare with ERP support quotations for spare parts for Customer and Dealers.
  • Manage customer inquiries on spare parts pricing, availability and order processing
  • Follow-up customer orders for delivery
  • Follow up on Spare Parts stock/availability with The Planning Dept. or Engineering
  • Manage customer payments terms with financial department
  • Process customer requests for return of spare parts and other spare parts-related claims
  • Respond to customers' requests for information, service, and parts identification
  • Manage customer information in the ERP
  • Follow up on non-conformity issues and work to provide resolution to customer
  • Maintain a proper and positive communication with customers
  • Keep an open communication with the Logistic Dept to ensure orders are being shipped on time
  • Work closely with the Part Specialist to identify spare parts
  • Performs other duties as needed/assigned

Requirements

Qualifications and Skills:
This role is pivotal in supporting customer service efforts. The individual in this position must have integrity, resourcefulness, and professionalism in working with colleagues and clients. Relationship building, client service, and the ability to follow up in a timely manner are critical for success. The ideal candidate will have relative experience, excellent communication and leadership skills, and mechanical/electrical aptitude.

  • Minimum of two years of experience in spare parts administration.
  • Minimum of two years experience in customer service environment.
  • Minimum education of a high school diploma or GED required; or higher in related field is preferred
  • Able to work independently and under pressure
  • Expertise in Excel and ERP Systems , SAP is a plus
  • Knowledge of order management processes
  • Adaptable to changes in the work environment, managing competing demands, dealing with frequent change, delays or unexpected events.
  • Knowledge and understanding of costing, margin, markup, and profit preferred.
