Position Summary:

The Facilities Manager is responsible for inspecting, maintaining, and repairing mechanical, electrical, plumbing, and HVAC systems to ensure optimal operating results.

The Facility Manager will oversee the company's facility operations, manage staff, manage office moves and manage janitorial duties, all while remaining in compliance with local, state, and federal regulations.

This includes, but is not limited to, our 48 apartment units within 13 townhomes, Veterans Resource Center building and grounds.

The Facility Manager position is typically staffed during normal business hours, Monday-Friday each week.

Due to the nature of this position, however, the Facility Manager must be available to respond to facility emergencies during non-business hours.


Essential Duties and Responsibilities:
Oversees building and grounds maintenance.
Operates and maintains custodial functions.
Ensures security and emergency preparedness procedures are implemented properly.
Ensures that the facility is clean and maintained according to company policy and procedures.
Handles general accounting tasks, such as accounts payable, payroll, petty cash, and budgeting.

Oversees and supervises the quality of work the department to ensure that all tasks are performed correctly, efficiently, and effectively.

Manages and reviews service contracts.
Conducts and documents regular facilities inspections.
Checks completed work by vendors and contractors.
Recommends maintenance, mechanical, electrical, and facility design modifications.
Communicates workplace safety precautions to employees.
Forecasts, allocates, and supervises the financial and physical resources of the facility management.
Maintains accountabilities for all Veterans Place tools, equipment and supplies, and recommends purchases of additional items as necessary.
Evaluate maintenance requests, set priorities, and process work assignments.
Maintains records of maintenance and other facilities activity.
Tests all building Emergency systems.
Troubleshoots computer problemsAssists in coordinating and organizing special events for Veterans Place.

Maintains a reliable network of outside vendors and suppliers to ensure cost effective and timely support of the maintenance staff.

Oversee and assist with set up and management of volunteer events.
Maintain and oversee Urban League workers.
Perform other duties as assigned.
Acts as project manager for special projects assigned by Executive Director.
Oversees the Safety and risk committee.

Assists the Executive Director with CARF accreditation complianceEnsures that all regular and routine inspections of fire, safety, and other required facility inspections are up to date and completed on time.

Manages all vendors providing routine cleanings and inspections of properties and facilities. Interacts with and act as point of contact for contractors on campus.
Ensure that all fire and other emergency drills are completed and documented.

Communication:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to finish work requests in a timely manner.
Ability to speak effectively before residents or employees.
Ability to perform mathematical calculations where necessary.
Ability to effectively present information in one-on-one and small group situations to other employees of the organization.

Qualifications:


Certificate from college or technical school; or two to five years related experience and/or training; or equivalent combination of education and experience.

Must be proficient in spoken and written English.
Experience working with veteran population preferred.
Must be able to pass a pre-employment drug screen.

Physical Demands:


While performing the duties of this job, the employee is regularly required to walk; use hands to finger, handle, or feel; and reach with hands and arms.

The employee frequently is required to climb or balance; stoop, kneel, crouch, or crawl; talk or hear; and taste or smell.

The employee is occasionally required to stand and sit.

The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move up to 100 pounds.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
