The University Controller's Office is responsible for fiscal accountability, accuracy, and reporting of a $2.3 billion enterprise, including timely and accurate payment of monthly and biweekly wages to over 18,000 staff, faculty, student workers, and temporary employees, over 110,000 vendor payments annually and management of a $480 million external debt portfolio.


The University Payroll section of the University Controller's Office is responsible for 1) timely and accurate payment of wages to approximately 11,300 monthly and 14,500 biweekly staff, faculty, undergraduate and graduate student workers, postdocs, foreign national, and temporary employees with an annual payroll of over $1.2 billion; 2) proper deduction, monthly plan reconciliation and vendor payment of three mandatory, 38 voluntary and 60 statutory (garnishment) deduction plans, including the employer's matching contributions for retirement and health insurance; and 3) compliance for, payment to, and proper reporting of wages and tax withholdings to the federal government and approximately 40 states.

Essential Job Duties


We are seeking a talented Payroll Tax Specialist to join our team and contribute to the seamless operation of our payroll tax processes.

In this role you will assist with ensuring accurate tax withholdings and compliance with federal, state and local tax regulations.

Key Responsibilities include but are not limited to the following:

Tax Reconciliation and Reporting:

  • Coordinate W-2 reconciliation process under Payroll Tax Manager's guidance.
  • Verify wage and tax balances for quarterly tax reports to federal, state, and local agencies.
  • Prepare annual W-2 reporting and handle corrections (W-2Cs) as needed.
  • Monitor out-of-state employees for tax compliance.

Error Resolution and Compliance:

  • Review and correct payroll tax errors, ensuring accurate tax withholdings.
  • Investigate exceptions and collaborate with payroll team for resolution.
  • Test and implement system enhancements for tax compliance.

Communication and Documentation:

  • Communicate tax withholding and reporting requirements for new earnings codes.
  • Respond to complex tax-related inquiries and provide clear explanations.
  • Maintain accurate records and documentation for compliance and reporting purposes.

Other Responsibilities:

  • Process off-cycle checks and maintain financial data for reporting purposes.
  • Serve as backup for other Payroll Tax Specialists during absences.
  • Perform additional tasks as assigned by the supervisor.

Minimum Education and Experience


Bachelor's degree with 12 credit hours of accounting coursework; or Associate's degree in Accounting; or Associate's degree in Business or related discipline with 12 credit hours of accounting coursework; or equivalent combination of training and experience.

  • Proficient in Microsoft Office Suite, including Excel, Access, Word, and PowerPoint (or similar software)
  • Professionally worked with a large ERP system (SAP, PeopleSoft, Oracle, or similar software).
  • Understanding of databases and how to write queries
Preferred Qualifications

  • 2+ years of payroll tax experience
  • 3+ years of experience in multi-state tax reporting
  • PeopleSoft HCM version 9.1 or higher and Microsoft Access experience.
  • Tax reporting experience in an organization with at least 500 employees working in multiple states.
  • 941 reporting experience
