The Opportunity

We are seeking a highly motivated and organized Employment Administrator. This role will primarily involve assisting in the implementation of initiatives aimed at empowering individuals with disabilities to secure meaningful employment, training job coaches, and educating businesses on the benefits of hiring a neurodiverse workforce.

This is a grant funded position.

Your team

  • First Place Employment Team: Lead Employment Specialist, Employment Specialist(s) & Employment Outreach Coordinator
  • Collaboration with the following members of the Global Leadership Institute team: GLI Administrative Assistant, Director, Education & Training and Directors of other GLI centers
  • Administration: Finance, IT, CEO, COO and Human Resources.

What Youll Do

  • Maintain organized filing systems for documents, records, and resources
  • Handle all correspondence, including emails, phone calls, and mail
  • Coordinate travel arrangements and accommodations for team members
  • Provide administrative assistance to the employment team
  • Schedule and coordinate meetings, interviews, training sessions, and events
  • Prepare agendas, take minutes, and distribute meeting notes
  • Assist with creating and formatting documents, presentations, and reports
  • Maintain calendars and ensure timely completion of tasks and projects
  • Maintain accurate records of program participants, job placements, and employer partnerships
  • Assist with data entry, tracking, and analysis of employment and inclusion initiatives

Supervisory Responsibilities:

This role has no supervisory responsibilities.

What Youll Bring

  • Associate's degree in business administration, office management, or a related field
  • Minimum of 2 years of administrative experience, preferably in a non-profit or social services setting
  • Excellent verbal and written communication skills
  • Strong attention to detail and accuracy in record-keeping and data management
  • Ability to work independently and collaboratively in a fast-paced environment
  • Commitment to promoting diversity, equity, inclusion, and accessibility
  • Familiarity with inclusive practices and experience working with individuals with disabilities

What to expect:

This is a hybrid position that takes place in both an office environment, within the community, and remote. Exposure to varying temperatures and weather elements can apply. The noise level ranges from quiet to moderate.

  • Compile and generate reports on program outcomes, impact, and grant activities
  • Ensure compliance with data collection and reporting requirements
  • Assist with project planning, coordination, and implementation
  • Monitor project timelines, deliverables, and budgets
  • Communicate and prove excellent customer service with internal and external parties
  • Provide logistical support for training sessions, workshops, and events
  • Serve as a liaison between the employment team and other departments
  • Foster positive relationships with program participants, employers, and community partners
  • Assist with creating and distributing newsletters, updates, and communications
  • Assist in implementation of employment initiatives
  • Other duties as assigned by supervisor.
