Job Overview:

From March March 2023, the International Rescue Committee launched and implemented a first-of-its-kind service model for the resettlement of 556 Afghan Humanitarian Parolees (AHPs) who arrived through Operation Allies Welcome.Via a comprehensive and personalized virtual case management model, the Virtual Afghan Placement and Assistance (VAPA) program provided per capita direct assistance, client-led case management, and resources and referrals for the successful resettlement of these new arrivals.Building off of this award-winning program, the IRC now implements the Virtual Reception & Placement (VR&P) program for Special Immigrant Visa (SIV) holders, the Virtual Resettlement Line for humanitarian parolees, and the Welcome Corps Support Line for private sponsor groups welcoming newcomers through the Welcome Corps.

Using the model developed during VAPA and further advanced for the current iteration of the VR&P program, the International Rescue Committee (IRC) aims to meet the ambitious goal of receiving and resettling up to 10,000 individuals in FY24 from the Western Hemisphere and Operation Enduring Welcome platforms.This project will include coordinating steps overseas, partnering with a variety of stakeholders across the United States, and effectively establishing relationships in a virtual setting.

The remote and pioneering nature of this project requires a detail-oriented and responsive Operations Coordinator able to coordinate all operational functions for the fully-remote VR&P team of over 80 FTE.This position is responsible for managing general administrative support, acts as the primary Human Resources focal point, and is the point of contact for various functional areas including logistics and procurement.

Major Responsibilities:

Responsibilities include, but are not limited to:
  • Serve as the program's first point of contact on employee lifecycle matters, including but not limited to recruitment, new hire setup and orientation, benefits, payroll, on-boarding, leaves of absence, status changes, and separations.
  • Coordinate background checks for staff.
  • Maintain employee time-off calendar.
  • Support compliance with HR-related IRC policies and procedures.
  • Coordinate headquarters initiatives related to the IRC Way, Duty of Care, Safeguarding, and related content.
  • Serve as the VR&P's primary focal point for IT and communications infrastructure, hardware, and software matters.
  • Educate staff about IT support resources, including appropriate channels for incident reporting.
  • Work with headquarters IT team to address any internet or telecommunications service disruptions.
  • Serve as primary point of contact for procurement and supply chain.
  • Order supplies, equipment etc. in accordance with supply chain and financial compliance guidelines and coordinate servicing and repairs as needed.
  • Manage and maintain digital and physical files.
  • Manage vendor billing/invoices in coordination with Finance team.
  • Assist with planning and coordinating events and meetings, such as the Grant Opening Convening.
  • Track themes in safety or security issues in locations of VR&P clients and inform staff of best practices for safety of clients related to any trends.
  • Other duties as assigned.
Job Requirements:

Education:
  • Bachelor's degree or equivalent directly related experience required.
Work Experience:
  • 3 years demonstrated record of success in managing and improving the daily administrative and operational functions of an organization.
Demonstrated Skills and Competencies:
  • Highly organized self-starter with demonstrated problem-solving and follow-through ability, and proven success in managing multiple and diverse priorities under pressure.
  • Strong analytic problem-solving skills with attention to detail.
  • Ability to troubleshoot basic IT issues.
  • Excellent verbal and written communication skills as well as an overall ability to be clear and concise in all communications.
  • Strong organizational and time-management skills; proven ability to prioritize and deliver on time in a demanding, fast-paced environment.
  • Ability to work both independently and in a dynamic, cross-functional global team structure.
  • Highly proficient in Microsoft Office suite.
  • Demonstrated ability to work effectively with stakeholders at all levels.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
