Overview

The Art Museum welcomes applications for a Manager, Development Operations to join an experienced and growing team. Reporting to the Senior Associate Director of Development (Senior AD), the successful candidate will be an integral member of the Museum’s development team, overseeing the policies, procedures, and processes that enable the team to maximize its effectiveness, opportunities, and efficiencies, including but not limited to the recording and use of all donor data in the Altru database. This position, in collaboration with the Museum’s Senior Manager of Data Operations, is responsible for ensuring that gifts and pledges are recorded, reported, and acknowledged in a timely manner. They are responsible for the production of customized reports, highly segmented lists, and other data communications as needed. They are the primary liaison between the Museum’s development and finance teams, providing contributed revenue reporting weekly for the development team, expense budgets monthly, and reconciling gifts and cash flow as needed. This position also oversees the identification, implementation, training, and evaluation of all systems for development team operations. They train staff and create manuals for use by the team on all new systems and processes.

 

About the Museum:

 

With a collecting history that extends back to 1755, the Princeton University Art Museum is one of the leading university art museums in the country, home to collections that have grown to include more than 115,000 works of art ranging from ancient to contemporary art and spanning the globe. Committed to advancing the University’s teaching and research missions, the Museum also serves as a hub for the humanities at Princeton for visitors worldwide. The Museum currently presents exhibitions in its two downtown venues (Art on Hulfish and Art@Bainbridge) and is touring collections exhibitions nationally and internationally. When the Museum opens its dramatically reconceived building, scheduled for 2025, it will initiate a new exhibitions program with annual exhibitions on-site and on tour.

Responsibilities
  • Analyze development team processes and procedures and make recommendations for improvements in efficiency and effectiveness. 
  • Assist in establishing, revising, and updating department policies and standards and recommend and implement solutions.
  • Establish policies and procedures for timely and accurate gift recording, processing, reporting, and acknowledgment.
  • Maximize coordination between Altru and other systems (currently Stripes; potentially connecting with ticketing, tour management, attendance, and Store sales) to advance fundraising outcomes and track/provide analysis of constituent participation.
  • Act as the primary staff resource regarding Altru software components and provide technical support and customer service. Escalate unresolved issues to Blackbaud Customer Support and other third party contacts.
  • Administer project management technology solutions for the development team and onboard new staff (AirTable, Teams, OneDrive).
  • Recommend operational strategies, with budget implications of implementation.
  • Supervise the Database Coordinator position.
  • Maintain and adhere to policies around information gathering and sharing in accordance with professional ethics standards and safeguard the confidentiality of donor information at all times.
  • Establish procedures to record in Altru: all research, peer prospect review, and solicitation notes on prospects and donors; and gift strategies and activities.
  • Onboard and train staff on all databases (Altru, Stripes).
  • Drive ongoing refinements to data integrity, including large and small-scale clean up and maintenance projects, in keeping with best practices and in response to evolving user needs.
  • Build complex queries, exports, and reports in a broad range of formats.
  • Generate weekly, monthly, quarterly and annual operational reports to track progress of fundraising programs, including creating customized reports in preparation for meetings and other purposes as needed.
  • Support the development of major gift solicitation and campaign efforts by identifying and recommending prospects based on Altru analysis as requested by development team members.
  • With the Senior AD, develop stewardship processes and actions and create an annual calendar of these actions that recognize major donors and provide accurate and timely information pertaining to the use and impact of their gifts.
  • Create a calendar for solicitations and renewals, billing and invoice procedures, and acknowledgment processes, insuring timely communication with donors.
  • Remains abreast of all changes in industry standard policies and procedures and applies this knowledge as appropriate to development team operations.
  • Liaise with Princeton University Advancement for CRM merger project.

 

Qualifications

Essential Qualifications

 

Successful candidates will have an appreciation of the work of the Museum, with the ability to manage specific responsibilities while providing support for multiple projects and priorities while maintaining a commitment to excellence. They can analyze circumstances, evaluate outcomes, and make choices in the best interest of the development department and organization. They must also be trustworthy and diplomatic, with excellent judgment, customer service, and relationship-building skills with a broad range of constituencies.

  • Bachelor’s degree
  • 5+ years in administrative development role, particularly fundraising services and operations, including broad understanding of fundraising techniques, functions and concepts.
  • Advanced knowledge of and expertise in database administrations; advanced training in Altru /Blackbaud’s Raiser’s Edge and demonstrated proficiency in database configuration, query writing, exporting, importing, merging, and data management.
  • Significant experience in data report writing, including proficiency and experience with data reporting tools, data retrieval, segmentation, and analysis.
  • Strong analytical and reasoning skills; ability to identify problems and provide actionable recommendations.
  • Proven ability to prioritize multiple tasks simultaneously under strict time constraints and meet deadlines.
  • Leadership characteristics, including the interpersonal and professional skills necessary to manage staff and promote a positive work environment.
