Job Description:

As a Secretary, you will play a crucial role in ensuring the smooth operation of our office environment. You will be responsible for providing administrative support to ensure efficient operation of the office. Your duties will include handling incoming calls, managing correspondence, scheduling appointments, and assisting with various administrative tasks.

Key Responsibilities:

  1. Answer and direct phone calls in a professional and courteous manner.
  2. Greet visitors and direct them to the appropriate person or department.
  3. Manage incoming and outgoing correspondence, including emails, letters, and packages.
  4. Schedule and coordinate appointments and meetings.
  5. Maintain organized filing systems, both electronic and physical.
  6. Assist in the preparation of regularly scheduled reports.
  7. Make travel arrangements and reservations as needed.
  8. Provide general administrative support, such as data entry, photocopying, and filing.
  9. Handle sensitive and confidential information with discretion.
  10. Perform other duties as assigned by management.

Requirements:

  1. Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
  2. Excellent communication and interpersonal skills.
  3. Strong organizational and multitasking abilities.
  4. Attention to detail and accuracy.
  5. Ability to prioritize tasks and manage time effectively.
  6. Discretion and confidentiality.
