Responsibilities

Essential Duties

  • Prepare Daily Time Sheets for field service personnel
  • Open quotes/jobs as directed by Manager
  • Coordinate and setup travel arrangements for field service personnel
  • Assist in scheduling emergency requests for field service personnel
  • Maintain files for field service jobs
  • Maintain open job report
  • Verify expense reports related to Field Service, Mods and Repair and Return Sales.
  • Create and receive Oracle PO’s for Field Service jobs, Mods and Repair and Return Sales
  • Review job files for cost accuracy. Expedite missing items and corrections and produce job costing reports
  • Review quotes and prepare invoice information for approval and process invoices as per customer requirements
  • Collect parts order paperwork and process invoices as per customer requirements
  • Answer customer invoice inquiries
  • Prepare and maintain credit card orders
  • Maintain all information related to EMD training and invoicing
  • Other duties as assigned

Safety

  • Develop relationships with coworkers to better understand the processes and culture that affect safety.
  • Influence safety by evaluating safety performance, participating in safety meetings, targeting areas needing improvement and developing initiatives to impact the areas.
  • Thoroughly knowledgeable of Safe Work Policy.

Qualifications

  • High school diploma
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office and Oracle
  • Self-motivated and multi-task oriented
