This position is responsible for providing administrative support for the operation of and communications to the Campus Operations Division. This position specifically provides administrative support for the SAVP of Campus Operations. This position offers support to the reception desk and organizes/coordinates departmental activities and meetings.
RESPONSIBILITIES:
General Administrative Support
- Creates various types of documents and contracts.
- Monitors contract management system for SAVP approvals pending and routes appropriately.
- Schedules appointments, makes travel arrangements, and acts in an office support role as needed for the SAVP.
- Maintains memberships and registrations for the SAVP.
- Provides communication to Campus Operations employees.
- Contributes to the updates of the Campus Operations website utilizing Cascade.
- Coordinates, creates, and places content for Campus Operations social media platforms.
- Posts important information at time clocks and sends informational emails to staff.
- Contributes to the updates of the Campus Operations website utilizing Cascade.
- Maintains SAVP's purchasing card, including allocation of charges as well as completing and submitting statement paperwork.
- Orders and maintains office supplies as needed.
- Plans and executes small events, including reservations, selection of menu, operating within a budget; creating, preparing, and sending invitations; tracking/following up on RSVPs, and maintaining files on processes associated with each event.
- Attends SAVP sponsored events and meetings to ensure smooth operation as required.
- Knowledge of various computer software programs is preferred.
- Systems we use frequently include: Microsoft Office, Banner and Banner forms, ROADS, Wrike, Onbase, ESM Solutions, Cascade, MailChimp, BBNC, Google My Maps, etc.
- Strong interpersonal and communication (verbal and written) skills are required.
- Strong organizational, prioritization, time management skills are required and must be able to work independently with minimal supervision.
- Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing
- High School diploma or equivalent is required. Associate's Degree is preferred.
- Requires five or more years of experience in the administrative support field; preferred experience working at an institution of higher education.
- Requires experience working with people in a customer service environment.
- Full-time, non-exempt position
- Monday - Friday, 8:30 a.m. - 5:00 p.m.; 8 hrs./day; 40 hrs./week
- All Facilities employees are designated as essential personnel. This position may be asked to work during emergency situations in an office capacity.
Pay Grade 4 (Hiring Range $18.18 to $22.72 per hour)
