THE ROLE

As the Motor Vehicle Branch Operations Supervisor 1, you will play a crucial role in supervising a team of dedicated staff, deliver outstanding customer service, and ensure smooth branch operations. Your proven ability to lead effectively, pay attention to detail, and strive for excellence will be essential in driving the success of the branch and contributing to the overall mission of the DMV.

The Motor Vehicle Branch Operations Supervisor 1 can expect to:
Supervise and mentor a team of branch staff members, providing guidance and support to ensure exceptional customer service and efficient operations.Oversee the processing of license and registration transactions, ensuring accuracy and adherence to all applicable laws and regulations.Resolve complex customer inquiries and issues, demonstrating a customer-centric approach and maintaining a high level of professionalism.Collaborate with internal teams to determine branch performance metrics and implement strategies to optimize efficiency and customer satisfaction.Develop and maintain branch policies and procedures, ensuring compliance with all applicable laws, regulations, and DMV standards.Assist with the training and development of branch staff, ensuring a high level of expertise and proficiency in all aspects of branch operations.Our ideal candidate will have:
Excellent communication and interpersonal skills, with the ability to effectively engage with a wide range of individuals.Proficiency in computer systems and software, including MS Office Suite and DMV-specific applications.A thorough understanding of motor vehicle laws, regulations, and processes.Demonstrated ability to efficiently handle various responsibilities and prioritize tasks in a dynamic work environment.

PURPOSE OF JOB CLASS (NATURE OF WORK)
In the Department of Motor Vehicles this class is accountable for providing the public with prompt, courteous and accurate service by effectively managing all activities in a small branch office.
EXAMPLES OF DUTIES
Performs a wide range of administrative, supervisory and direct service duties as follows:

Coordinates, implements and maintains effective operational branch office procedures;Ensures compliance with central office policies, standards and procedures;Ensures the proper maintenance and security of building and grounds, office equipment, supplies, cash and official documents;Continuously reviews cash and document controls;Has responsibility for the collection and deposit of large sums of money submitted to the office as payment of fees and sales taxes;Negotiates contractual arrangements for the maintenance and repair of the physical plant as required;Maintains sufficient inventory;Orders supplies; Keeps a variety of records and completes weekly, monthly and yearly reports;Oversees and evaluates lobby traffic flow, in-person and telephone requests for information and mail intake with regard to volume and type of service needed;Adjusts work assignments to accommodate immediate needs;Serves as liaison between the branch office and central office units, Department of Revenue Services, town tax collectors and others to provide or obtain information;Interviews and selects office staff;Provides orientation, counseling, evaluation and discipline in accordance with departmental standards;Determines, provides and/or oversees training needs of employees;Assigns and periodically reviews work for effectiveness;Makes work schedules and approves leave time;Provides the full range of office services to the public in person, over the phone and through written correspondence;Handles the most complex transactions and resolves customer complaints;Performs related duties as required.
KNOWLEDGE, SKILL AND ABILITY
Considerable knowledge of the functions and activities of the Department of Motor Vehicles;and ability to apply motor vehicle laws and regulations;the principles of office systems and procedures;clerical detail and recordkeeping including financial recordkeepingConsiderable interpersonal skills;oral and written communication skills;Skills in handling and counting money;operation of office equipment skills;Ability to utilize computer software.Supervisory ability.
MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
Seven (7) years of clerical experience.
MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE
Four (4) years of the General Experience must have involved the issuance of a variety of official documents requiring the examination of applications and supporting documentation including one (1) year in a supervisory capacity.
MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED
College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling six (6) months of experience to a maximum of two (2) years.One (1) year as a Motor Vehicle Branch Supervisor may be substituted for the General and Special Experience.Two (2) years as a Head Motor Vehicle Examiner may be substituted for the General and Special Experience.
PREFERRED QUALIFICATIONS
Experience working with daily operations of the branch including issuing drivers’ licenses, registrations, petty cash, daily deposits, and overage/shortage procedures.Experience with face-to-face customer interactions and the de-escalation of situation(s).Experience managing Sales Force (SF) and Mainframe Payment (MPay) appointment systems.Experience supervising, assigning work, training staff, and problem solving.Experience interpreting Motor Vehicle Statutes such as Title 14 and applying them to policies and Branch Operations procedures.Experience establishing and managing competing priorities.Experience with Microsoft Office, Excel, Teams, CIVLS (CT Integrated Vehicle and License System).Experience with written and verbal communication with internal staff and the public.Experience working independently and in a team environment.
