WORK SUMMARY

The HR Specialist role will support and provide a variety of specialized, complex activities for Duke University’s School of Medicine and its Human Resources Service Center (HRSC). This position will support departments within the School of Medicine’s HRSC in its payroll and FMLA functions, serving as a resource, providing guidance and excellent customer service, and preparing, coordinating, and entering documentation throughout the employment process.

WORK PERFORMED

25% - Serve as a resource on human resources matters, provide guidance, assistance, and support to management, supervisors, and administrators. Demonstrate knowledge of internal HR information via the ability to research, comprehend, and communicate Duke Policies and regulations. Act as consultant and recommend best practices in accordance with established University policy. Maintain and build relationships with School of Medicine HR and other appropriate offices and departments in order to respond to personnel problems, issues, and special requests. Address, analyze, and triage all general customer inquiries – from employees to department administration and other Duke entities. Advise and assist in the handling of human resources issues and determine the appropriate actions and processing. Address questions with detail, accuracy, and completeness, via written, verbal, and electronic communication.
20% - Process FMLA documentation and advise employees and managers on policy guidelines and eligibility criteria. Provide detailed and clear instructions and guidance on submission of leave time. Coordinate Paid Parental Leave and submit appropriate forms for payment.
15% - Coordinate, process, and manage new hires, including I-9 verification and submission. Obtain and verify necessary documentation, schedule orientation, and set-up employee in Payroll Systems. Serve as a point-of-contact, interfacing with new hires to provide information and answer inquiries regarding various payroll/HR policies, employment expectations, and responsibilities. Track 90-day probation/trial-period process for regionalized departments.
15% - Accurately process iForms in a timely manner and in accordance with corporate deadlines (including, but not limited to, transfers, hires, terminations, rate and schedule changes, data changes, cost distributions, and position creation).
25% - Manage payroll activities, ensuring accurate and on-time payment to all biweekly staff members. Make appropriate adjustments using correct forms. Manage and process reduction in force plans, layoffs, and calculate and coordinate severance pay and vacation pay out. Compile and prepare a variety of reports and analyses reflecting various personnel and/or payroll data as requested; review for appropriateness and facilitate the processing of various personnel and payroll forms; ensure maintenance of appropriate personnel records.

MINIMUM QUALIFICATIONS

Education

Work requires knowledge of basic communications, research and education, mathematical principles normally acquired through a high school.

Experience

Work requires the ability to review, maintain, research, and report on human resource and payroll information/activities generally acquired through five years of related experience.
