Associate Director of Operations, Poison Control - Department of Emergency Medicine

Essential functions (job duties):

Management:

o Manage the administrative and operational direct staff (local and remote staff) functions of the Poison Control Center. Set expectations & focus, assign duties, delegate responsibilities, evaluate activities, prepare performance appraisals & professional development plans.

o Manage the administrative process for assigned staff including hiring, promotions, terminations, disciplinary procedures, and salary adjustments. Provide timely communications to staff.

o Responsible for creating, leading, implementing, and tracking department administrative protocols to ensure compliance.

o Collaborate with Director on strategic planning and implementing strategies to support short and long-range initiatives. Develop department productivity measures and assess operational and staff performance.

o Participate in the budget preparation process. Participate in developing cost savings and revenue generating plans. Review and approve revenues and expenditures, as necessary. Develop reports for review of fiscal and operational activities.

o Develop and maintain quarterly schedules for SPIs and update as needed. Coordinate leave requests, call offs, traded shifts and vacant shifts.

o Ensure scheduling policy and scheduling process are designed in such a way to be of full benefit to the department. Ensuring and documenting staff meeting attendance.

o Review and approve payroll after review.

o Provide on-call support for staff operational issues.

o Support PCC staff during events resulting in a surge of calls, prolonged downtime, or issues arising with acute vacancies.

o Track staff professional licensure expiration dates. Alert Directors of any expired licenses.

o Collaborate with Directors, providing administrative support as needed.

New Program Development and Research Data Contracts:

o Develop and operationalize new processes within the scope of the program.

o Coordinate staff to facilitate training and development.

Operational

o Assist Directors with MiPDC New Applicant screening, application reviews, interview offers, interview logistic coordination and scheduling.

o Interface with internal and external constituencies on a regular basis including the Michigan Department of Health and Human Services (MDHHS), American Association of Poison Control Centers (AAPCC), Health Resources & Services Administration (HRSA), the senior leadership of Wayne State University including the President and the Chair of the Department of Emergency Medicine.

o Oversee the purchasing and the reasonable use of all equipment and consumables. Develop and maintain contracts including initial and ongoing negotiation with all external clients. Serve as the liaison between the center and the equipment manufacturers.

o Develop and/or maintain orientation checklist and supporting materials.

o Structure MiPDC SPI on-boarding process.

o Ensure new employees progress through training during shifts.

New Hires & SPI Orientation Support:

o Assist Directors with MiPDC New Applicant screening, application reviews, interview offers, interview logistic coordination and scheduling.

o Develop and/or maintain orientation checklist and supporting materials.

o Structure MiPDC SPI on-boarding process.

o Ensure new employees progress through training during shifts.

New Program Development and Research Data Contracts:

o Develop and operationalize new processes within the scope of the program.

o Coordinate staff to facilitate training and development.

Technology and Equipment Support:

o Ensure minimal office and computer equipment downtime and contact/follow-up with WSU

SOM IT/Communication departments for repair/service as needed.

o Coordinate operations for any MiPDC shutdowns and surges.

o Provide support for staff education for new technology for Department.

Perform other related duties as assigned.

Unique duties:

Qualifications:

Education: Bachelor's degree from an accredited college or university with a degree in business, health care administration or related field.

Preferred Education: Masters of Business Administration (MBA) or Health Care Administration.

Experience: Intermediate (3 to 4 years job-related experience)

Supervisory experience managing remote workforce preferred. Poison center experience preferred.

Strong leadership skills including effective decision-making responsibilities, coaching, teaching, and counseling skills, and the ability to inspire and build confidence in others and to forge alliances and garner support.

Ability to maintain confidentiality and professionalism.

Ability to gather, analyze and make recommendations/decisions based on data. Knowledge of relational databases. Proficiency in Microsoft Office (Access, Word, Excel, PowerPoint), scheduling software (When2Work), and Ring Central phone/chat software.

Ability to evaluate, interpret, and present complex information effectively in professionally prepared documents or presentations. Must possess a demonstrated attention to detail in order to achieve a high degree of accuracy. Ability to meet deadlines under pressure.

The Michigan Poison & Drug Information Center Associate Director of Operations, Poison Control is responsible for providing comprehensive leadership to staff and managing operational and administrative affairs to the regional Poison Control Center (PCC) operations. This position will serve in a leadership capacity by providing supervisory, developing, and maintaining staff scheduling, developing standard operating procedures, coordinating technology updates, monitoring departmental budget, troubleshooting, and identifying opportunities for Center process improvements. This role includes, but is not limited to, data management activities, operational and financial activities, coordination of business operations lines, and other administrative duties. The Associate Director of Operations will develop departmental goals as set forth by the institution as well as the accrediting body, America’s Poison Centers (APC). Normal office environment.
