Lease Administrator – Position Overview

The Lease Administrator is a key position on our Real Estate team and is responsible for comprehensive Lease Administration; reviewing and maintaining lease documents, auditing billings, confirming adherence to lease provisions, and updating the lease systems and records for the portfolio of company store locations. 

Essential Duties

  • Review lease provisions and legal documents, analyze billings, ensure data accuracy in the lease system, and create and maintain reports.
  • Evaluate and assess common area maintenance, real estate tax, and insurance billings to ensure billing accuracy and compliance with lease agreements. Review billing errors, lease interpretation discrepancies, and other differences with landlords. Coordinate with the Senior Director of Real Estate in working with landlords and proactively elevating potential legal disputes as necessary.
  • Perform and document desktop audits of assigned landlord’s common area maintenance (CAM), taxes and insurance reconciliation. This includes, but is not limited to, proof of payment, reasonableness of expense, and review of certificates of insurance with proper coverages and endorsements. Review discrepancies with management and contact landlord for unresolved issues.
  • Ensure timely payment of landlords in compliance with lease agreements and review adjustments to escrows as needed. Prepare billings for timely submission to the accounts payable department. Partner with real estate and accounting to reevaluate audits to take advantage of all cost savings.
  • Respond to lease-related data inquiries from landlords and management. Assist management with auditing the lease system, budgeting, and accounting compliance.
  • Foster and leverage landlord/tenant relationships to assist in positively positioning the company for future dealings with issues and negotiations.
  • Process timely payment of rents and fees with an eye toward statement reconciliation and cost savings.
  • Work with more experienced associates in the department to gain fundamental knowledge to facilitate productive dealings and positive relationships with landlords and various lease situations.
  • Gain experience and knowledge to grow individually and advance departmental capabilities.
  • Accountable for the maintenance of assigned critical lease documentation by tracking, reviewing, abstracting, and retaining fully executed legal documents (lease amendments, renewals, letter agreements, etc.).

Qualifications

  • High school diploma required. Associates or Bachelor’s degree in a related field is preferred.
  • Prior experience as a commercial property manager and/or lease administrator is preferred.
  • Experience managing commercial leases in a multi-site environment.
  • Experience with Common Area Maintenance costs, reporting, and invoicing.
  • Excellent customer service skills with the ability to manage difficult and stressful situations.
  • Strong communication skills – written, verbal, persuasion, motivation, facilitation of strong working relationships.
  • Proven critical thinking and sound judgment.
  • Ability to manage business expectations and resolve concerns, by communicating status and issues.
  • Capability to effectively prioritize and escalate issues as necessary.
  • Solid and advanced systems capability (Outlook, Excel, Word, PowerPoint, Lease Software).
  • Maintain confidentiality, discretion and caution when handling sensitive information.
  • Multitask while maintaining great attention to detail.
  • Self-motivated, organized, effective time-manager, with deductive problem-solving skills.
  • Collaborative team member that values responsibility and individual tasks.

Pay Range

$30 - $35 per hour
