POSITION SUMMARY: The Signature Events Coordinator is responsible for leading production and execution of the annual Ray Benson’s Birthday Bash, as well as supporting the logistical and tactical tasks for HAAM’s other key signature events including HAAM Day, Corporate Battle of the Bands, and Pearl Society. Duties include but are not limited to coordinating logistics, maintaining sponsor relationships and coordinating communications as determined by the Chief Development Officer and Development Department for each signature event.
A strategic and integral member of the Development team, the Signature Events Coordinator is primarily responsible for supporting the logistical and tactical execution of HAAM signature events and helps ensure that the logistic needs of HAAM signature events stays within budget and appropriately represents HAAM to the community. This individual executes and coordinates Ray Benson’s Birthday Bash including but not limited to managing event logistics, including venues, communication, vendor relationships , sponsorship, registration, and auction needs. The Signature Events Coordinator supports the overall development work of HAAM that will allow the organization to achieve its mission of providing access to affordable healthcare for Austin’s low-income, working musicians.
DUTIES/RESPONSIBILITIES:
Major HAAM Signature Events Lead responsibility for HAAM’s annual Ray Benson’s Birthday Bash to include managing all aspects of the event, including creative strategy, talent booking, website content, social media oversight, and event production logistics; and working with internal and external parties (venues, photographers, food vendors, alcohol partners, production, etc.) to initiate, plan and execute events. Responsible for producing event within budget and according to established timeline. Support execution of other HAAM signature events. Support other HAAM events as needed. ****Signature Events Revenue:
Work with Chief Development Officer to establish engagement and sponsorship acquisition plans for Ray Benson’s Birthday Bash. Works on stewardship engagement of sponsorship partners and attendees .Marketing Assistance
Assists with social media and website updates in conjunction with Ray Benson’s Birthday Writes proposals, newsletters, brochures, pamphlets and other development outreach materials related to Ray Benson’s Birthday as needed. Coordinates with the marketing team as needed.Event Support:
Supports additional Signature Events (HAAM Day, Corporate Battle of the Bands) as needed. Performs other duties as assigned. ****Professional Brand:
Maintains professional growth and development through seminars, workshops and professional affiliations to keep abreast of the latest trends in signature events/ fundraising and Austin music related and non-profit organizations. Communicates effectively with other members of the HAAM staff, board and donors in a cooperative manner consistent with HAAM’s mission and philosophy. Has a visible presence in the community representing HAAM. ****MINIMUM QUALIFICATIONS:
Two to four years proven track record in planning and implementing large and small events. Undergraduate college degree in hospitality, sales, marketing or related field preferred. Related experience can substitute for educational degree. Critical thinking skills, decisive judgment and the ability to work with minimal supervision. Proficient in the use of technology, including Microsoft Word, Excel, Google Mail, Dropbox, Google Drive, Square Space, and social media platforms.EXPERIENCE/SKILL REQUIREMENTS
