As an Administrative Assistant, you will provide essential support to ensure the smooth operation of daily activities. This role will also support all areas of the company. The ideal candidate must be organized, detail-oriented, self-motivated, able to work independently, and interested in financial services.

 

Key Responsibilities:

 Correspondence

  • Manage incoming calls and direct them to the appropriate personnel.
  • Prioritize communication from various channels, ensuring timely responses.
  • Properly document written correspondence monthly.

Scheduling

  • Utilize a monthly reporting process to schedule client appointments for all advisors.
  • Execute pre-appointment tasks: uploaded client docs and reminders.

Manage Monthly Reporting Processes

  • Birthdays, anniversaries, and non-cash compensation log.
  • Perform the labeling, stuffing, and stamping for monthly birthdays/anniversaries cards.

Client support

  • Assist clients in accessing their online account portal or basic account data and collecting security questions.

Office Management

  • Monitor beverage, snack, household items, and office supply inventories so they are adequately stocked for client meetings.

Housekeeping

  • Operate the dishwasher and maintain cleanliness in coffee areas.
  • Maintain cleanliness of meeting areas (e.g., conference room, waiting area, etc.).
  • Ensure the copy room is cleaned and stocked and documents are safely secured each night.

 

Qualifications:

  •  Exceptional communication and interpersonal skills
  • Proficiency in using essential office software and email systems (e.g., Microsoft Word, Outlook, Google Docs)
  • Organizational skills and the ability to manage and prioritize tasks effectively
  • Ability to work in a fast-paced environment and adapt to changing priorities
  • Demonstrated reliability and punctuality
  • Respect for confidentiality and sensitivity to client information

 

Preferred Qualifications:

  • Previous experience in a similar role or administrative support
  • Familiarity with customer relationship management (CRM) systems
  • Knowledge of industry-specific terminology or subject matter
