Office Service Manager Coordinator

For over 27 years One Pointe has been providing residential property management services for 400 homeowners within the 5 square miles of New Seabury, Massachusetts. Our company is a membership based service that provides 24/7 on call emergency response, at request home Cre services, project design and management, and comprehensive annual planned services required to protect and maintain our members seaside properties. Our services are customized to each home tailored to the needs of each to member and specific to their properties.
Role Description
This is a full-time on-site role as an Operations Administrator at One Pointe, located in Mashpee, MA. The Operations Administrator will be responsible for coordinating and managing day-to-day activities associated with the operations of service delivery. This includes organizing schedules, overseeing budgets, managing staff, and ensuring regular maintenance and repair of equipment. The Operations Administrator will also collaborate to identify business opportunities and provide customized solutions.
Job Description
Job Order Entry and Line Item Setup
Job requests and setup jobs with required billing tasks and enter in Service M8.
Scheduling– Review daily schedules to tech entries and update daily schedules to Dispatch Board.
Update Jobs through the fullfillment process on Jobs
Update Cleints on job progess
Mark Tasks as Complete in Dispatch
Review Billable Line Items for proper descriptions, costs, pricing for invoicing
Confirm purchases and vendor costs are entered on job line items for approval
Mark jobs ready for biling to be processesed
Invoicing - for completed day to day Jobs and Billable Tasks.
Receive incoming calls and dispatch techs as needed, and update tech schedules in Service M8.
Invoicing - for completed Work Orders and Billable Tasks.
Estimates - preparation and submit for review for CEO.
Ideal Applicant is an organized multi-tasker, with attention to detail and experince in scheudliomg and fulfilling work order requests.
Qualifications
- Bachelor's degree in Business Administration or related field
- 3+ years of experience in operations administration or a related field
- Excellent organizational and time management skills
- Strong analytical and problem-solving abilities
- Excellent communication and interpersonal skills
- Demonstrated ability to work independently and in a team environment
- Proficient in Microsoft Office Suite and experience with operations management software and Quick Books.
