Purpose of the Job

The Executive Assistant’s primary responsibility is to provide comprehensive support services to select members of the Executive Team, as well as work as part of the administrative team supporting the Executive Team to ensure professional, responsive, and highly effective experiences both internally and externally. Specifically, the position is responsible for providing high-level administrative support, executive office management, and meeting coordination.

Essential Functions and Responsibilities

Provides complex multi-calendar management, including troubleshooting conflicts with little guidance and making judgements and recommendations to ensure smooth day-to-day office operations; monitors email and takes action on behalf of senior executives as appropriate and necessary; creates and submits expense reports and ensures timely payment of credit card bills and personal reimbursements; drafts correspondence that is sometimes confidential; opens and routes daily mail, etc. Assists with preparation of various documents to be reviewed and presented to the board of directors, executives, other committees, and/or external audiences. Prepares and assimilates sensitive confidential documents, including statistical reports for analysis. Coordinates complex travel arrangements, sometimes internationally; creates comprehensive travel itinerary portfolios; and anticipates detailed needs of senior executives and any travel partners. Assists with proofreading materials/documents for accuracy and completeness. Prepares for meetings, including attending select meetings to take minutes; prepares agendas, presentations, and other meeting materials; orders lunches and snacks as needed; reserves appropriate conference rooms or off-site space; and handles A/V needs. Plan and execute all logistics for various on- and off-site Executive-led meetings and events, including some held in remote locations.  This may include attending meeting/event to serve as on-site event planner and/or note taker. Offers solutions to various scenarios that arise with a high level of professionalism and confidentiality. Reviews invoices for accuracy, seeks approval for payment, and ensures timely processing. Screens and reviews incoming correspondence, including internal and external requests for information; makes preliminary assessment of the importance and determines which issues to bring to the senior executive’s attention. Organizes, creates, and maintains physical and electronic filing system. Coordinates use of the Fred J. Sarda Pavilion, maintains inventory of supplies and orders as needed; handles cards and flowers for employee life events, etc. Serves as back-up administrative support as needed.

Knowledge, Skills, and Abilities

  • Must have excellent verbal and written communication skills in English, including presentation, persuasion, and negotiation
  • Must have advanced computer skills, including MS office applications (Outlook, Word, Excel, PowerPoint, etc.)
  • Must have ability to create presentations, forms, charts, graphs, databases, and spreadsheets
  • Must be able to maintain a high degree of confidentiality
  • Must have superior interpersonal skills; ability to get along with diverse workgroups/populations; collaborative, tactful, mature, flexible, compassionate
  • Must be resourceful and well organized with strong attention to detail and provide systematic and dependable follow-up
  • Must have the ability to research and analyze various types of data/information
  • Must be flexible and able to shift resources and priorities as required and remain calm under pressure
  • Must have ability to think and act strategically, provide sound judgment, and anticipate needs
  • Must be able to manage multiple tasks concurrently
  • Must be able to work in a general office environment
  • Should possess a strong commitment to providing excellent service to Truliant’s member-owners and employees

Physical Requirements

  •    Occasional standing, walking, bending, and stooping required
  •    Must be able to sit at a desk for long periods of time and use a computer
  •    Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds

Education and Background

  • Associate Degree and/or equivalent administrative/secretarial work experience preferred
  • A minimum of 5 years previous administrative experience required, of which 3 years of executive level support experience preferred
  • Previous experience supporting finance/accounting required
