Events & Logistics Coordinator

Reporting to the Director of Education and Professional Development, this position will manage the backbone of all ACA, New England Events. This includes the Spring Conference, webinars, trainings, in-person events, gatherings, and more. This position is designed for a logistical, organizational, and administrative professional, who loves working for a regional based, membership association and practices the highest level of customer service. This position will be hybrid in nature (2 days/week from home; 3 days in office), following an onboarding period.


Key Responsibilities:

  • Assist in the planning, coordination, and execution of all aspects of the association’s in-person and virtual events, including conferences, seminars, workshops, networking sessions, meetings, and social events.
  • Manage event logistics, including venue selection, registration set-up, catering, transportation, and evaluation ensuring a safe and engaging experience for attendees.
  • Coordinate with attendees, speakers, sponsors, exhibitors to fulfill their requirements and expectations.
  • Help to develop event budgets, track expenses, and ensure events are delivered within budgetary constraints.
  • Work with marketing personnel in creating promotional materials and marketing campaigns to drive attendance and participation in events.
  • Provide on-site support during events, overseeing registration, managing volunteers, and addressing any safety or logistical concerns that arise.
  • Actively sit on the Conference Committee.
  • Other duties as assigned.

  • Some bending and lifting required


Minimum Qualifications Desired:

  • Experience in related field or experience in customer service preferred
  • Technically astute and proficient using Microsoft Office or aptitude for learning.
  • Event technology skills, i.e. Zoom, Google
  • Capacity to work independently and as part of a team to plan, organize, and prioritize work while managing multiple deadlines in a fast-paced environment.
  • Strong attention to detail
