Office and Facilities Manager

The Office and Facilities Manager will be responsible for ensuring the smooth functioning of our office environment and facilities. This role requires a detail-oriented and proactive individual who can manage various tasks, from coordinating office maintenance to overseeing vendor relationships. The Office and Facilities Manager will play a crucial role in creating a safe, comfortable, and efficient workplace for our employees.
Essential Job Functions:
- Own relationship with various external vendors and coordinate with external vendors and service providers for facility maintenance, repairs, and renovations.
- Ensure compliance with health and safety regulations and implement measures to maintain a safe working environment.
- Establish and implement office policies and procedures to maximize efficiency and productivity.
- Manage the procurement and inventory control of office supplies, equipment, and furniture.
- Plan and execute office space allocation and seating arrangements to accommodate the needs of various departments and teams.
- Manage office security systems, access controls, and emergency preparedness protocols.
- Conduct regular inspections of the office space to identify and address maintenance issues, safety hazards, and cleanliness standards.
- Monitor and manage office-related budgets and expenses, ensuring cost-effectiveness and adherence to financial guidelines.
- Collaborate with HR and other departments to support employee engagement initiatives and workplace culture.
- Supervise all office operations, including but not limited to office maintenance, cleanliness, and organization.
- Oversee office operations and facilities staff, providing leadership, guidance, and support to ensure the smooth functioning of daily activities.
- Partner up with cross function teams in planning and execution of office events, meetings, and special projects as needed.
- Act as the main liaison for employees, addressing their office-related inquiries, requests, and concerns.
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or related field preferred.
- 5-10 years of experience in office management, facilities management, or related roles.
- Strong knowledge of office operations, facilities maintenance, OSHA, and health and safety regulations.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication and interpersonal skills, with the ability to interact effectively with employees, vendors, and stakeholders.
- Proactive problem-solving abilities and attention to detail.
- Proficiency in Microsoft Office Suite and facility management software.
- Ability to work independently and collaboratively in a fast-paced environment.
- Fluent in Mandarin Chinese preferred but not required.
- This role will support a gaming studio, any experience with supporting gaming studio is preferred but not required.
