The Oregon Department of Justice’s Crime Victim and Survivor Services Division (CVSSD) is seeking to hire an Office Specialist 1 as a front desk worker to provide reception coverage for its division. CVSSD team members work every day to reduce the impact of crime on victims’ lives by covering crime-related costs and supporting statewide victim services programs. The candidate selected for this opportunity will provide ever-friendly, front-line support to division employees and clients. The ability to speak and write fluently in English and Spanish is required.

What You Will Do


You’ll be entrusted to (in part):


  • Serve as a CVSSD receptionist, answering and screening telephone calls (using a multi-line phone system) and in-person guests, referring clients to the appropriate staff, and providing basic information regarding the services of the Crime Victim and Survivor Services Division.
  • Stay current on changes in section staff assignments, major program changes and procedures to assure accurate response and routing of requests from callers and walk-in clients.
  • Process and scan daily mail and portal documents (i.e., medical assessments, police and DHS reports, bills, and chart notes, etc.) and link to appropriate claim.
  • Utilize the case management system to retrieve claim numbers to ensure appropriate routing, including priority mail.
  • Monitor and process the division's email folders, portal documents, and fax lines, processing accordingly.
  • Other duties as assigned.

  • One year of general clerical experience that includes keyboarding, word processing, or other experience generating documents.

OR

  • An equivalent combination of experience and college coursework or training in a general office occupation.


Work experience is based on a 40-hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.)


AND

  • The ability to speak and write fluently in English and Spanish.
  • The position requires the employee to be able to recognize a crisis situation, display compassion, emit professionalism and courtesy in dealing with the victim/applicant, advocates, providers, the public and CVSSD staff.
  • This position requires the ability to maintain strict confidentiality with sensitive case information.
