Join the Statewide Delivery Support unit as an Office Specialist

We are seeking a talented individual to serve as an Office Specialist (Office Specialist 2) for the Oregon Eligibility Partnership (OEP) Statewide Delivery Support (SDS) unit. This position is responsible for supporting the daily office tasks and administrative needs of this work unit. Primary duties include scheduling, recording and publishing notes, documenting and following up on action items and supporting the unit staff, manager and community connections.

What you need to qualify / Minimum qualifications:

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR

  • An associate degree in any field; OR

  • An equivalent combination of education and experience.

Essential attributes:

  • Experience using time management, organization and prioritization skills to meet deadlines.

  • Experience managing competing objectives and timelines; independently identifying, assessing and resolving barriers or inefficiencies. 

  • Experience operating with flexibility, taking direction when work priorities or schedules shift in a fast paced, high-pressure environment.

  • Experience providing customer service in a professional environment to a high volume of diverse customers by telephone, in writing and in person.

  • Demonstrated experience developing meaningful relationships within a team that foster trust, inclusivity and respect.

Your duties at a glance:

As an Office Specialist, you will contribute to the department’s mission by supporting the day-to-day operations of the unit staff, managers, and business partners. Duties include, but are not limited to:

  • Schedule meetings, take notes and manage team meeting agendas.

  • Provide backup coverage for other support staff.

  • Coordinates office supply ordering, receiving, and billing.

  • Coordinates logistics for equipment related activity such as phone installations, equipment purchasing, ergonomic assessments, and general tracking and information management.

  • Compose routine correspondences and memos, transcribe and/or type, proofread and edit reports, meeting notes or minutes.

  • Tracks team action items, reminders, and follow up as needed.

  • Assist with administrative support duties related to recruitment and personnel documentation.

Working conditions:

  • Work operations and required meetings primarily occur 8 a.m. – 5 p.m., Monday – Friday. Flexible schedule negotiable based on business needs.

  • The ability to report to Salem occasionally is required to meet business and operational needs that are dependent on onsite activities.  

  • Works in an integrated environment where diverse programs, partners and staff create the work team.

  • Requires frequent use of a PC, which includes repetitious hand movement.

  • Regular and consistent attendance is essential.
