Job Summary

*** This is a short-term position with a projected end date of June 30, 2025. Based on funding, position may be extended.

Provides academic advisement to new and continuing students either in-person or virtually with high levels of accuracy and customer service. Advises assigned cohorts of students and applies comprehensive case management and outreach strategies for students in a particular field of interest. Works in coordination with Academic Advising Analyst(s) and a student support CARE team. Provides academic advisement to cohort and non-cohort students regarding program and degree requirements, university transfer, and graduation eligibility. Processes unofficial transcript evaluations, course approvals, and creates personalized academic plans. Implements strong problem-solving and troubleshooting skills to resolve more complex student services concerns requiring extensive knowledge of academic advising and student services regulations and policies. May coordinates office workflow and provides training to other staff members.

Essential Functions

65% Advises assigned cohorts of students 1:1 and/or in groups and by various modalities including but not limited to in-person and virtually (video, email, chat, and phone). Maintains, tracks, and reports data on assigned caseloads and as assigned by department supervisor or FOI Analyst. Monitors enrollment, academic progress, retention, and completion of assigned students. Works as the primary advising contact for assigned students and provides regular communication in the form of enrollment nudges and just-in-time student success support. Assists students with career and major exploration, develops comprehensive multi-semester academic plans, monitors student progress & milestones, and timely completion and transfer. Collaborates and participates on an assigned CARE Team to provide holistic support to students and encourage student success. Responsible for more advanced advising functions and processing, including program plan changes, unofficial transcript evaluations, reviewing and applying academic policies as it relates to graduation eligibility and reviewing & processing graduation documents. Evaluates and processes joint advisement and financial aid documents and data in accordance with applicable federal regulations and compliance. May provide advisement for specialty programs requiring specific program admissions criteria and designs and delivers related orientations, information sessions, and/or group presentations. Provides & updates materials related to degree & certificate information, training resources, department presentations, and department or program website content, as assigned. Utilizes, maintains, and updates student databases and records systems and performs more complex SIS functions. Documents advising sessions and any student correspondence through Advising Notes, within the student record database. Follows Academic Advisement department practices and templates. May consult with FOI Analyst, faculty, and/or other departments to resolve or respond to student barriers.

25% Handles more complex student concerns and responds to escalated student/parent complaints, as assigned. May lead department projects, tasks, or workflow. May provide staff on-boarding or training as well as provide faculty advisor training. Works collaboratively with college certifying officials on behalf of students and is knowledgeable of applicable regulations and policies. Identifies support resources for students and makes appropriate referrals. Acts as a department liaison or representative on college and district committees, special events, and works with external partners, as assigned.

5% Provides work direction and coaching to student workers. Performs other duties as assigned.

Minimum Qualifications

Associate’s Degree from a regionally accredited institution and two (2) years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

High School Diploma or GED and four (4) years of student services or college teaching experience or experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

Desired Qualifications

1. Bachelor's degree or higher from a regionally accredited institution.

2. One (1) year experience providing academic advisement at a community college 

3. Experience tracking and reporting data.

4. Experience coordinating and facilitating presentations or orientations in a group setting

5. Experience leading and managing projects, workflow, and training staff

6. Experience managing cohorts of students and handling complex student issues 

7. Proficiency using Microsoft Office Suite and/or Google Suite

Special Working Conditions

 Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: 

May be required to work at multiple sites or locations.

May be required to work evenings and weekends.

 May require prolonged periods of viewing a computer screen.
