The Operations Coordinator is a non-exempt, full-time, twelve-month position which is responsible to the Director, Facilities & Construction.

Essential Functions and Duties

Primary Responsibilities

Prepare and deliver reports, documents, spreadsheets etc. in appropriate format as requested by the Director of Facilities and Construction to include construction related documents such as construction schedules, statements of work, progress reports, proposals, etc. Provide a supporting role to the Director of Facilities and Construction with respect to budget oversight, campus building maintenance and campus renovation and construction projects. Maintain, gather, and analyze data and information for various purposes including tracking, monitoring, coordination and/or compiling office/program activities, programs or events, budgets and financial data. Maintain an open line of communication with Facilities and Construction department supervisors and Director. Assist in coordinating work within multiple departmental offices. Manage data driven projects such as energy management and service ticket metrics. Organize and analyze data and deliver reports to the Director of Facilities and Construction. Assist the Director of Facilities and Construction with on sight construction projects as needed. Assist the Director of Facilities and Construction in soliciting bids, as well as managing records of construction bids with related construction projects. Provide general office support and maintenance activities to include receptionist duties, preparing documents, word processing and record maintenance. Preparing correspondence, forms, reports and other documents; creating and maintaining standard and electronic records, files and recordkeeping systems; arranging meetings and events; making travel and other arrangements; ordering and maintaining supplies and troubleshooting office technology problems and systems. Perform other duties as assigned.   Competencies

Excellent relational skills and the ability to work cordially with coworkers, supervisors, and the general public; must demonstrate courtesy in dealing with the requests of others. Must be able to work with little supervision, interpret and follow prescribed procedures and respect confidentiality within the office of the Director of Facilities and Construction. Must possess detail-oriented work habits and meet required deadlines. Must be proficient in Word and Excel and have working knowledge of software to include Banner and Service-Now (work-order system) Experience in statistical evaluation of data and report writing skills. Basic knowledge of applicable College infrastructure, policies, and procedures. Ability to respond to routine inquiries and explain standard policies and procedures to others. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough, and at times, creative solutions. Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Ability to stand, walk and/or sit to continuously perform essential job functions for an eight-hour shift, with appropriate breaks.   Competencies

SUPERVISORY RESPONSIBILITIES
No direct supervision

Work Environment:  Work rarely required outside of normal business hours
Physical Demands:  Sitting, Walking, Standing, Lifting, Reaching
Travel Required:  Yes - Moderate
If travel is required, candidate must have and maintain a current valid Texas driver’s license and an acceptable driving record

Associate degree

One to three years of experience in a related position
