About You:

About the Opportunity:

This position reports to the Director of HR. The HR Assistant will perform administrative tasks and services to support effective and efficient operations of the Human Resources department. Will create a positive employee experience. Responsible for maintaining employee files, HRIS/Payroll data entry and integrity; process departmental correspondence. Plan and coordinate employee events. Integral part of US Coast Guard compliance for employees.

Essential Duties & Responsibilities:

Responds to basic employee inquiries regarding benefits, time & leave and company policies and procedures. Maintains accurate and up-to-date HR files, records, and documentation as well as provides administrative support where needed. Supports NYC Ferry and other ports within City Ferry and City Experiences portfolio. Assist with new hire orientation and prepare needed materials and handouts. Assist with on-boarding in HRIS and Payroll. Assist at local hiring events. Prepare uniforms, ID cards and name badges for orientation. Maintain all employee documentation and ensure that policies have been signed by the employee and filed correctly. Create and maintain employee benefits and medical files. Respond to all employee verification requests. Assist with USCG verification letter - sea-time letters for marine employees. Respond to requests for drug consortium letter. Coordinate Random Drug testing program with ports. Tracks compliance with USCG requirements. Maintain all licensing and credentials for mariner and safety sensitive positions; tracks for expirations and renewal. Verify with corresponding agency. Provide general support to employees as it relates to HRIS access, password resets and general information. Process employee I-9 Verification within 3 days of employee hire date and completes E-Verify; track and follow up with employees regarding missing / expired documents. Maintain and complete uniform requests; tracking and distribution. Support the planning and execution of special events such as employee recognition events, birthday celebrations, holiday parties, etc. Coordinate monthly birthday and anniversary communication; responsible for ordering and mailing of cards. Performs other duties as assigned.

Requirements & Qualifications:

Bachelor’s Degree in related field of study.

Minimum 1 year of HR experience or administrative assistant experience; completed HR internship a plus. Proficiency with using Microsoft Office, Word and Excel. Experience in using any Applicant Tracking System and Human Resource Information System is a plus. Able to work independently as well as part of a team with flexibility and willingness to learn and to take initiative on variety of tasks and projects. Strong organizational skills with demonstrated attention to detail and focus. Strong analytical, verbal, written and interpersonal communication. Ability to protect the confidentiality and privacy of others in addition to company documents and records when privy to sensitive information. Ability to demonstrate good judgment and discretion. Ability to effectively prioritize, organize and perform multiple tasks with varying deadlines.
