THE OPPORTUNITY

We’re looking for an executive assistant (EA) to provide administrative and operational support to the Communication, Brands and Government Affairs (CB&GA) department as well as the CB&GA vice president and leadership team who are responsible for commercial communication, external communication, events, editorial, internal communication, and public affairs for the AMN (North American - US and Canada) Region. This role will coordinate and manage executive and department-wide scheduling, serve as the budget coordinator, prepare and organize important strategic materials and plans, and support department-wide meetings and offsites. This role serves as the eyes and ears for the CB&GA VP, connecting organizations, projects, and critical business information to the VP, ensuring meetings and materials are efficient and effective, and serves as a trusted partner to deliver against the CB&GA priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate needs. The role must interact seamlessly and with a professional demeanor across a broad range of individuals and teams including members of the Region Executive Team and their staff, Group colleagues in other time zones, and leaders that report to the VP. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion. The EA is part of the CB&GA leadership team and plays an active role in the department steering.

WHAT WILL YOU DO

Work directly with the VP to support all aspects of daily work routine. Maintain the VP’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs. Determine priority of matters of attention for the VP; redirect matters to staff to handle, or handle matters personally, as appropriate. Along with the VP and APC, oversee the annual CB&GA budget process and monthly reconciliation. Serve as the budget coordinator and review general ledger (GL) and update the department budget tracker monthly. Maintain paper and electronic filing systems along with leading the department’s Document Management approach as the Document Management Administrator (DMA). Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials. Provide coordination, support, monitoring and communication of projects and programs managed by the CB&GA chief of staff . Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages. Sort and triage mail; maintain department organizational chart, distribution lists and other address directories. Compose and prepare letters relating to routine correspondence for the VP’s signature. Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate. Prepare, reconcile, and submit expense reports for VP. Maintain confidential and sensitive information. Manage all department invoices by creating requisitions and receive invoices in Oracle and/or credit card payments. Serve as liaison with Purchasing regarding communications, updates, Q&A and policy changes. Oversee budget for departmental supplies. Oversee onboarding and offboarding process for employees joining or transitioning out of the department. Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material.

WHAT WILL YOU BRING

Bachelor’s degree preferred. Three to five years’ prior experience in supporting a senior executive or team. Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) Exceptional budget skills including high proficiency in Oracle. Excellent organization and time-management skills. Ability to exhibit sound judgment, prioritize and make decisions. Energy and eagerness to tackle new projects and ideas.
