Job Description:

Basic Purpose: To provide a variety of administrative support functions within respective business unit(s), in support of daily operations. Under immediate supervision, follow basic processes and procedures to accomplish routine tasks. Receive and respond to inquiries from internal/external sources and/or members to ensure effective, timely and accurate service. May serve as contact coordinator by handling general phone calls, directing visitor traffic and scheduling events/meetings. Works with either close supervision or under clearly defined procedures. Administrative role, completes work with little autonomy.

Responsibilities:

• Receives, screens and directs incoming calls, visitors, mail and email

• Uses business software applications (, word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes

• Monitor and respond to inquiries received through various media channels

• Collect, prepare, and maintain data for analysis, reports, and reference

• Collect, sort, and distribute reports, correspondence, on-line messages, and faxes

• Act as liaison between business units in support of operational initiatives

• Identify, investigate, and resolve discrepancies/processing problems to include documentation and time-sensitive issues

• Track and update action items in database(s)

• Complete data entry in automated systems; may generate reports

• Establish, organize, and maintain filing systems

• Operate and maintain standard office equipment

• Maintain hardcopy and/or computer-based files and records

• Maintain and stock essential materials and supplies

• Perform other duties as assigned

Skills & Qualifications:

• MINIMUM of 1-3 years of recent related experinece required. Writing/Editing experience (Mainly with PowerPoint decks and editing/drafting mass emails for executive and broad scale/organizational communication)

• Project Support (working on Initiatives)

• High Level Communication: Written and Verbal

• Innovative: Think outside the box

Software Requirements:

• PowerPoint creation but not actually presenting the material

• Proficient in Microsoft Office Suite

• Design/Graphic Skills are a plus but not required

• Computer/tech savvy

• Strong data entry skills

Additional:

• Entry level position with little or no prior relevant training or work experience

• Basic clerical, technical or administrative skills

• Basic keyboarding/typing skills

• Basic skill reviewing documents for errors, inconsistencies, or missing information

• Basic word processing and spreadsheet software skills

• Basic skill applying research and interpretation of findings to respond to requests

• Basic skill exercising initiative and using good judgment to make sound decisions

• Basic skill following, interpreting, and applying guidelines, procedures, practices, regulations

• Basic skill maintaining accuracy with attention to detail and meeting deadlines

• Basic skill performing mathematical calculations and working accurately with numbers

• Basic verbal and written communication skills

• Basic research, analytical, and problem-solving skills

• Ability to work independently and in a team environment
