Legal Services Administrator

The purpose of this position is to provide complex legal and administrative support by performing duties as assigned by the General Counsel or designee. This position manages all contract review processes and negotiations, manages insurance claim submissions and investigations, maintains a broad base of legal office functions, and assumes a project management role to solve issues and achieve favorable outcomes.
DUTIES AND RESPONSIBILITIES:
- Oversee the contract administration process, including contract review/editing, analysis of contract terms/conditions and supporting documentation, contract execution, and maintenance of contract database.
- Create and provide training on contract development and submission process.
- Assist with modification of contract forms and training materials.
- Carry out assignments and projects as determined by the General Counsel.
- Provide legal and administrative support to the General Counsel and legal team.
- Assist with development and administration of department budget.
- Assist with Board grievance proceedings (e.g., scheduling, drafting notices, managing hearings).
- Review and catalog injury and accident reports involving students, parents, visitors and volunteers, investigates incidents as needed.
- Manage insurance claim process including submission and communications and assist in claim investigations and information gathering.
- Manage of bond forfeiture notices and objections for, including updating forfeiture spreadsheets, preparing court filings.
- Maintain up-to-date knowledge of regulations, policies, procedures, and law within assigned areas of responsibility.
- Assist in maintenance of online policy manual and periodic updates.
- Create and update presentations and reports as directed by the General Counsel.
- Communicate with and respond to requests from school site personnel and other internal clients.
- Performs other related duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
- Working knowledge of legal terminology and contract formulation principles.
- Refined computer skills, including proficiency in all Microsoft and Google applications with ability to work in various databases.
- Excellent oral and written communication skills.
- Well organized, highly focused, and process oriented with an ability to multi-task and use problem solving skills to achieve objectives.
- Strong project management skills.
- Ability to exercise excellent judgment and make decisions within defined parameters, including when to escalate issues to the attorney level.
- Ability to self-educate and self-start.
- Ability to work effectively in a team environment and across all organizational levels.
- Ability to maintain confidentiality requirements.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- Minimum: Graduation from a trade school or community college, or university, with a Paralegal or Bachelor’s degree PLUS five years’ related work experience in a law firm, legal, procurement, or other related department that includes two years’ experience working with contracts.
- Desirable: Bachelor’s degree in related field PLUS seven years’ related work experience in law firm, legal, procurement, or other department that includes five years’ working with contracts and two years’ with state/federal government contracts/bids.
- Desirable: Paralegal or Procurement Certification
- Desirable: Notary Public Certification
