This position will support the Evernorth Behavioral Health (EBH) team as a key business partner providing high level administrative support.  The Administrative Assistant Senior Representative will support the EBH Senior Leadership Team, as well as provide assistance and back-up to the EBH Executive Assistant.  The Administrative Assistant Senior Representative plays a key role in supporting the day-to-day operations of the senior leadership team.

Key Responsibilities:

  • Perform diversified and confidential administrative duties for the EBH Leadership team, utilizing broad and comprehensive experience, skill and knowledge of organization policies and practices.
  • Handles travel arrangements on behalf of the SLT, handles logistics for outside guests, and prepares and settles expense accounts. Ensures that all plans are managed seamlessly and coordinates related arrangements. 
  • Manage an effective calendaring system for principals and look for opportunities to enhance efficiencies. Make last minute calendaring decisions based on priority and business needs using sound judgment.
  • Prepare and distribute materials for meetings.  This includes consolidation of materials into single presentations.
  • Schedules and organizes meetings including LYNC/webinars/Webex and conference calls to be hosted by principals and/or direct reports (i.e., booking training rooms, pre-work, send pre-reads to participants.) as required; includes coordination and arranging with external attendees as needed.
  • Attend staff meetings, track and follow up on action items and manage invitations for guest attendees. 
  • Plan and coordinate on-boarding activities
  • Publish and maintain department organization charts
  • Maintain and coordinate department distribution lists
  • Order equipment and supplies using the portal supply system
  • Manage department vendor payment activities (as required) and assume delegate responsibilities for travel and expense entry for principals using Concur and other internal systems. 
  • Ensures all interactions are professional and commensurate with a high degree of customer satisfaction.
  • Utilizes the complete suite of desktop products, including Word, Excel, PowerPoint and Outlook and its calendar functions.
  • Performs special projects as necessary
  • Provide support to the EBH Executive Assistant as needed.

Ideal candidates will offer:

  • Candidate should have a minimum of 5 years of administrative assistant experience.
  • Represent department using excellent verbal and written communication skills. Can work independently and maintain confidential information. Possess a strong sense of urgency and the ability to work in a very high-paced environment with the ability to manage multiple tasks.
  • Effective calendar management experience is critical- Outlook preferred.
  • Experience with supporting a virtual workforce
  • Ability to work well in a team environment.
  • Ability to remain composed and focused in stressful situations utilizing customer centricity skills
  • Demonstrate initiative to anticipate work flow needs and proactively plan accordingly.
  • Expert skills in Microsoft applications - Word, Outlook, PowerPoint and Excel with a willingness to learn advanced skills as appropriate.
  • Possess technical proficiencies with audio and voice equipment as well as mobile and desktop devices.
  • Flexibility to travel as required; limited to less than 15%.
