The Client Services Coordinator is responsible for facilitating all phases of the company's proposal process from concept through presentation to the client. The Proposal Coordinator shall prepare quality documents in response to prospective client requests for proposals, liaise with clients, and coordinate with internal project teams.

Responsibilities

  • Prepare accurate proposal documents with clearly defined scope of work and services
  • Manage all aspects of proposal preparation, revision and submission; customize proposals to meet clients' needs; ensuring all timelines are met
  • Develop and maintain proposal generation process, tools, templates, etc.
  • Foster company-wide understanding and adherence to the request-for-proposal process
  • Coordinate, facilitate and present reporting of proposal generation activities and status
  • Demonstrate independent judgment on details of work and in making preliminary selections and adaptations of proposal alternatives
  • Gather historical technical and financial project information used for proposal development/basis-of-estimate
  • Manage and archive proposals documentation
  • Track proposals issued and follow-up with prospective clients
  • Maintain a working knowledge and general understanding of the various professional disciplines HLZAE is engaged in
  • Continuously improve the proposal process through best practices
  • Other duties as assigned
Qualifications & Skills
  • Oral and written communication
  • Detail oriented and organized
  • Aptitude for technology
  • Client relations
  • Proposal writing and/or industry experience a plus
  • Working knowledge of Excel
