JOB PURPOSE: As an AR/Payroll Specialist, your primary purpose is to ensure the accurate and efficient management of financial transactions related to both accounts receivable and payroll processes within the organization. You will be responsible for processing incoming payments, reconciling accounts, and addressing discrepancies promptly to maintain financial integrity. Additionally, you'll oversee payroll functions, including processing employee compensation, deductions, and ensuring compliance with relevant regulations. By meticulously managing both accounts receivable and payroll, you contribute to the smooth operation of the organization's financial systems, fostering trust and reliability in financial matters.

DUTIES & RESPONSIBILITIES:

  • Understanding of client communication and contract values.
  • Proficiency in utilizing QuickBooks software.
  • Regular contact with overdue clients, especially those overdue by 91 days or more.
  • Scheduled email and phone correspondence with clients overdue by 30 days, at least twice weekly.
  • Daily provision of metric updates and identification of any outstanding debts requiring attention.
  • Accurate and timely processing of weekly payroll for all staff members.
  • Verification of employee timekeeping records and attendance for precision and appropriate approval.
  • Calculation and processing of adjustments such as overtime, bonuses, commissions, and deductions.
  • Maintenance of precise employee payroll documentation, ensuring proper filing.
  • Adherence to federal, state, and local payroll tax regulations and reporting mandates.
  • Preparation and dissemination of payroll reports to management on an as-needed basis.
  • Prompt and courteous response to employee inquiries regarding payroll matters.
  • Assistance in the swift resolution of payroll discrepancies and issues.
  • Collaboration with HR and finance departments to guarantee accurate employee data and payroll processing.
  • Continuous monitoring of changes in payroll regulations and best practices to ensure compliance and efficiency.
  • Active participation in assigned payroll-related projects and initiatives.
  • Understanding of fundamental accounting principles and practices.
