Position Overview
We are seeking a highly organized, resourceful, and discreet Administrative Assistant to provide comprehensive, high-level support that facilitates strategic priorities and business growth. This is an exceptional opportunity for a proactive individual with impeccable attention to detail and strong problem-solving skills who thrives in a fast-paced environment.
This part-time role (up to 20 hours per week) offers tremendous growth potential, with the opportunity to transition into a full-time position as our company expands.
Key Responsibilities:
Executive Support:
- Manage complex calendars, coordinate meetings, and arrange travel.
- Prepare meeting agendas, presentations, and supporting materials.
- Draft, edit, and proofread correspondence, reports, newsletters, and marketing materials.
- Proactively identify and resolve administrative issues before they impact operations.
- Act as a trusted liaison maintaining strict confidentiality and utmost discretion.
Office Management:
- Oversee office space and facilities to ensure a clean, functional work environment.
- Maintain inventory and order office supplies as needed.
- Manage vendor relationships, negotiate contracts, and ensure timely invoice payments.
- Utilize remote collaboration tools (Zoom, Microsoft Teams, Slack, Google Workspace).
- Coordinate office events, meetings, mail, and deliveries.
Project Coordination:
- Assist with project management tasks including tracking deadlines, milestones, and deliverables.
- Draft and proofread professional correspondence, emails, and documents.
- Prepare high-impact marketing materials.
Marketing Support:
- Create engaging social media content across platforms (LinkedIn, Instagram).
- Update website content using content management systems (CMS).
- Develop marketing materials including brochures, presentations, newsletters, and email campaigns using Canva or Adobe Creative Suite.
- Maintain CRM database systems (Salesforce, HubSpot) for managing client and project records.
- Track marketing performance metrics using Google Analytics.
Accounting Support:
- Assist in preparing invoices and tracking payments.
- Record expenses in accounting software for accurate financial reporting.
- Reconcile receipts and company credit card statements monthly.
- Liaise with external accountants for tax preparation and audits.
Qualifications:
Required:
- Minimum 3 years of experience as an administrative or executive assistant.
- Bachelor's degree (Business Administration or Marketing degree is advantageous).
- Exceptional organizational, time management, and multitasking abilities.
- Outstanding written and verbal communication skills.
- Demonstrated ability to take initiative and solve complex problems proactively.
- Valid driver's license, reliable personal vehicle, and clean driving record.
- Ability to work flexible hours when needed.
- Ability to lift up to 25 pounds.
Technical Skills:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with Canva or Adobe Creative Suite for marketing design.
- Experience with CRM tools (HubSpot), Google Analytics, and QuickBooks or similar accounting software preferred.
- Knowledge of social media platforms (LinkedIn, Instagram) for business use.
- Experience integrating AI tools into workflows is a plus.
