About Haywood Waterways Association: Haywood Waterways Association (HWA) is a nonprofit association dedicated to maintaining and improving the water quality of the Pigeon River. Our focus is reducing non-point pollution in the Pigeon River Watershed. We work toward this goal through a variety of voluntary initiatives. These include providing educational programs to people of all ages, gathering water quality data and information, sharing information through various means to increase public awareness, supporting greenway efforts, and obtaining grants and other resources to address nonpoint pollution problems.
We are funded by contributions from members, grants, and donations. Formed in 1998 by a handful of concerned citizens in partnership with local governments, our organization has continued to support and bolster water quality measures across Haywood County.
Job Description: HWA currently manages 5.9M across nineteen grants funded through government, corporate, and foundation grants and most grant awards are within the $20,000 - $150,000 range. We seek to hire a Grants Manager (GM) to manage HWA's grant portfolio.
This part-time, remote position will work in close collaboration with and reports directly to the Executive Director. We are seeking someone who has experience with grant and project management. HWA staff and partners will continue their focus on grant writing, therefore this position will primarily address grant and project management, with minor grant writing responsibilities.
The GM will foster and grow our grant funding program and manage the full grant cycle; coordinate application schedules and writing, monitor progress on overall grant and various projects tied to grant, prepare all required reports, as well as provide ongoing oversight to ensure compliance with grant specific requirements.
A strong candidate will be highly organized, detail-oriented, and proactive, with the ability to manage multiple projects, meet deadlines, solve problems effectively, and work constructively within a team environment. HWA is a small team and prioritizes a healthy work-life balance. This position is mostly remote; however, in-person office space is available if desired. Project site visits are required several times each quarter due to the nature of the job, as such we prefer the applicant to live within Haywood County or a neighboring area. Mileage reimbursement (within the county) and office/field equipment will be provided.
Weekend work is not expected and we allow a shift in work schedule to ensure minimal disruption to personal schedules.
Term of Service: The position is considered regular part-time (24 hours per week; 52 weeks per year). The term of service is expected to continue beyond one year.
Responsibilities: The Grants Manager, with input from the Executive Director and staff, will perform or supervise the following tasks:
Grant Research & Application:
- Research grant opportunities from governmental, foundation, and corporate funders.
- Create and maintain the grant database.
- Work closely with staff and partners to draft and edit grant applications and provide relevant support documentation.
- Coordinate the grant application process and write and edit applications as needed.
- Manage and maintain general grant documents to support all grant applications.
Grants Management:
- Coordinate regularly with grant partners and contractors to ensure grant specific projects are on schedule and completed.
- Maintain a calendar of grant deadlines and ensure timely submissions and reporting.
- Conduct appropriate due diligence for grants including reviewing proposals and budgets, monitoring the progress of grant applications to ensure timelines are met, complete pre-award, award and post-award reporting requirements.
- Track and coordinate all grant applications.
- Ensure that conditions, compliance and reporting requirements of grants align with HWA's ability to meet those conditions, compliance, and requirements.
- Develop standard reporting templates and procedures that will support improved narrative and reporting.
- Maintain an orderly and up-to-date filing system for key documents including but not limited to grant proposals, awards, agreements, contracts, support documents, budgets, binding documents and other relevant documents.
- Leads and/or participates in special projects as needed, including the annual report.
- Coordinates with Office Manager to update website and outreach materials as needed.
Grants Monitoring & Compliance:
- Develop and modify policies/procedures/systems in accordance with grant requirements and organization needs and objectives.
- Assist in preparation for annual independent audit and any other funder visit, review or evaluation as appropriate.
- Provide support to staff to prepare, review and/or analyze grant agreements, contracts and reports.
- Track progress on grant initiatives and facilitate weekly grant status meetings with ED.
- Ensure appropriate staff provide reports as needed.
- Track and appropriately codify payments for easy identification and deposit.
- Maintain fund balance for each grant to assist team and partners with expense forecasting.
- Maintain conditional, federal and state grant schedules.
- Support project staff in requested changes and or extensions to grant agreements.
- Conduct routine compliance reviews of grant programs.
Qualifications:
- Associate's degree or equivalent experience.
- Two+ years related experience managing and writing grant applications.
- Excellent research and project management skills.
- Working knowledge of nonprofit business operations and state grant and contract funding mechanisms.
- Broad base of relevant knowledge and skills related to fund accounting, financial reporting.
- Desire and ability to work remotely.
- Able to work independently and as part of a team.
- Ability to communicate in a timely manner with team and organizational partners.
- Able to take ownership and drive activities to completion.
- Proven ability to manage multiple, overlapping programs with minimal supervision.

Compensation: $25/hr. We have office space in Waynesville, but allow for flexibility in working from home as desired.
