Job Summary

This individual will provide administrative support and ensure the efficient operation of the Zachry Hotels Leadership Team. Duties include managing calendars, scheduling meetings and estimate or other reviews, preparing and submitting expense reports, preparing correspondence, answering phone calls, managing, and replying to questions, coordinating travel, and other duties/projects as assigned. This position requires strong computer skills and attention to detail, flexibility, and the ability to work well with all levels of internal management and staff, as well as outside partners, clients, and vendors.

Essential Functions

  • Assist in reviewing, analyzing and coordinating properties forecasts, budgets and expenses
  • Maintain, support, and coordinate Managing Director's daily schedule, calendar of meetings, and appointments, events, etc.
  • Coordinate internal and external attendee calendars for estimate and proposal reviews.
  • Support Zachry Hotels with travel plans, expense reports, meeting coordination, and meals.
  • Coordinate with various support departments during the new hire process/orientation (equipment, workstation, etc.)
  • Read and analyze incoming mail to determine significance and distribute accordingly.
  • Monitor calls, screen calls, field questions, transfer calls to appropriate department/personnel. Collaborate with other assistants to provide coverage for the company's receptionist. Deal tactfully with callers.
  • Check stock to determine inventory needs, anticipate needed supplies, placing and submitting orders for supplies, and verify receipts for accuracy.
  • Work where procedures are varied and diverse; requires some decision making.
  • Miscellaneous / Other duties as required

Required Skills and Experience

  • 3 years executive assistant experience required, over 3 years preferred.
  • High School Diploma or GED
  • Excellent verbal and written communication skills
  • Must be able to communicate and interact with individuals at all levels of the organization
  • Ability to work independently, exercise judgement, and maintain confidentiality
  • Ability to manage multiple tasks against deadlines
  • Strong prioritization and organizational skills; detailed oriented
  • Strong working knowledge of Microsoft programs such as Excel and Word
  • Professional demeanor
  • Self-motivated
