The Impact You'll Make in this Role
Supports operations by handling wide variety of administrative duties for 3 Vice Presidents and their teams in the Commercial Branding and Transportation (CB&T) business. Applies highly developed administrative and coordination skills to complete activities. Acts independently on stand procedures and handles non-routine situations through interpretation of office guidelines and administrative practices. Propose and implement solutions to administrative concerns. May provide regular guidance and instruction on work procedures and policy to support personnel. Seeks supervision as needed for direction and approvals.
As an Executive Assistant you will have the opportunity to tap into your curiosity and collaborate with some of the most innovative people around the world. Here, you will make an impact by:
- Scheduling and supporting on-and off-site meetings, video conferences and teleconferences and making necessary arrangements to set-up meeting space
- Interpreting and administrating corporate policies and procedures
- Being key point person for Commercial Branding and Transportation leadership team keeping organized with various key dates and deadlines
- Performing administrative duties such as coordinating travel, managing calendars, reviewing and routing incoming correspondence, database management, managing business distribution lists, Managing aspects of SharePoint sites and other internal communications platforms
- Administer payments through SAP/generating and maintaining POs/nonPOs, plus credit card payments
- Work on special and ongoing projects as directed
- Serve as resource for CB&T Employees, aligned to needs for the overall business
- Overseeing logistics for events as needed
- Serving as a resource for interpretation and application of standard department/corporate policies, procedures, and guidelines, and practices
- Suggesting and implementing improvements to office and departments procedures methos and programs
- Regularly working with highly sensitive and 3M restricted and 3M confidential information
- Being somewhat flexible with work hours depending on current priorities
- Highly developed written and oral communication skills and collaboration skills
- Anticipating needs for the executives and responding accordingly
Your Skills and Expertise
To set you up for success in this role from day one, 3M requires (at a minimum) the following qualifications:
- High school diploma/GED or higher (completed and verified prior to start)
- Seven (7) years of combined experience in an administrative assistant function, secretarial, and/or clerical role in a private, public, government or military environment
Additional qualifications that could help you succeed even further in this role include:
- Experience supporting an executive conference member
- Experience handling confidential, sensitive business information and supporting executive level professionals
- Experience with employee and ERP data systems, for example: SAP, Workday, Concur expense reporting, etc.
- Advanced proficiency in MS office including Work, Excel, PowerPoint

- Work location: This role follows an on-site working model, requiring the employee to work at least 4 days a week at the 3M Center in Maplewood, MN.
- Travel: May include up to 5% domestic
- Relocation: None
