Duties

  • Greet visitors and manage front desk responsibilities with professionalism and warmth
  • Answer multi-line phone systems promptly and courteously, directing calls to appropriate personnel
  • Maintain accurate data entry, filing systems, and document management using Microsoft Office, Google Workspace, and other office software
  • Manage calendar schedules, appointments, and meeting arrangements for staff and executives
  • Perform clerical tasks such as proofreading documents, preparing reports, and organizing correspondence
  • Handle bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Support customer service efforts by addressing inquiries via phone or email with excellent phone etiquette and support skills
  • Assist with office management duties including supply inventory, maintenance requests, and vendor communications
  • Coordinate internal communications and ensure timely dissemination of information across departments
  • Support personal assistant responsibilities as needed, including travel arrangements or special project assistance
  • Maintain cleanliness and organization of the reception area, conference rooms, and common spaces

Requirements

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy
  • Experience with QuickBooks or bookkeeping is preferred but not mandatory
  • Excellent phone etiquette with the ability to manage multi-line phone systems efficiently
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Strong typing skills with attention to detail for proofreading and data entry tasks
  • Knowledge of office management procedures including filing systems, calendar management, and document handling
  • Ability to prioritize tasks effectively with excellent time management skills
  • Demonstrated customer service skills with a friendly demeanor and professional attitude
