Duties
- Greet visitors and manage front desk responsibilities with professionalism and warmth
- Answer multi-line phone systems promptly and courteously, directing calls to appropriate personnel
- Maintain accurate data entry, filing systems, and document management using Microsoft Office, Google Workspace, and other office software
- Manage calendar schedules, appointments, and meeting arrangements for staff and executives
- Perform clerical tasks such as proofreading documents, preparing reports, and organizing correspondence
- Handle bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Support customer service efforts by addressing inquiries via phone or email with excellent phone etiquette and support skills
- Assist with office management duties including supply inventory, maintenance requests, and vendor communications
- Coordinate internal communications and ensure timely dissemination of information across departments
- Support personal assistant responsibilities as needed, including travel arrangements or special project assistance
- Maintain cleanliness and organization of the reception area, conference rooms, and common spaces
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy
- Experience with QuickBooks or bookkeeping is preferred but not mandatory
- Excellent phone etiquette with the ability to manage multi-line phone systems efficiently
- Bilingual abilities are a plus to serve diverse client needs effectively
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Knowledge of office management procedures including filing systems, calendar management, and document handling
- Ability to prioritize tasks effectively with excellent time management skills
- Demonstrated customer service skills with a friendly demeanor and professional attitude
