Overview

We are seeking a dynamic and detail-oriented, avionics literate Customer Service Administrator to join our team In this vital role, you will be the backbone of our customer service operations, ensuring seamless communication, accurate documentation, and exceptional client support. You'll assist with all administrative functions related to aircraft maintenance projects, work orders, and customer communication within our Part 145 Repair Station environment. Duties

  • Provide administrative support to the Customer Service Manager.
  • Prepare, distribute, and track customer estimates, work orders, and project documentation.
  • Maintain customer records, aircraft logs, and service history in compliance with FAA and company standards.
  • Assist in coordinating aircraft induction, scheduling, and delivery paperwork.
  • Update customers on job status, project milestones, and delivery timelines as directed.
  • Process purchase orders, parts requests, and service authorizations as needed.
  • Review and verify labor and materials charges for accuracy before invoicing.
  • Maintain organized digital and physical records for all assigned projects.
  • Support company initiatives related to customer communication, quality, and compliance.
  • Provide professional reception and hospitality services to visiting customers.

Requirements

  • High school diploma or equivalent required; associate degree preferred.
  • Minimum 2 years of administrative experience, preferably in an aviation or technical environment.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficient with Microsoft Office Suite and ERP database systems.
  • Bilingual capabilities are a plus for engaging with a broader client base
  • Analysis skills to interpret service data and contribute to process improvements
  • Prior experience in aviation maintenance or business jet MRO setting strongly preferred.
  • Knowledge of aircraft work order, quoting, and invoicing processes.
  • Familiarity with maintenance tracking systems (e.g., CAMP, CMP, Veryon, Traxxall, and CAMS).
  • Customer service or accounting experience in a regulated environment.
  • Understanding of FAA Part 145 Repair Station documentation practices preferred.

Pay: $ $30.00 per hour
