Job Summary

We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will possess strong administrative skills and be able to manage various office tasks efficiently. This role requires excellent communication abilities, both in-person and over the phone, as well as proficiency in office management software. The Office Assistant will play a vital role in supporting daily operations and ensuring a smooth workflow within the office environment.

Responsibilities

  • Provide front desk support
  • ensuring professional phone etiquette
  • Assist with data entry, filing, and maintaining organized records
  • Manage calendars, scheduling appointments and meetings
  • Perform bookkeeping tasks
  • Utilize Microsoft Office and Google Workspace for document creation and management
  • Offer customer support by addressing client needs and inquiries promptly
  • Maintain office supplies inventory and order as necessary
  • Support administrative functions including clerical duties and office management tasks

Requirements

  • Previous office experience is required; clerical experience is a plus
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong organizational skills with the ability to manage multiple tasks effectively
  • Excellent typing skills with attention to detail for data entry tasks
  • Bilingual candidates are preferred to enhance communication with diverse clients
  • Familiarity with front desk operations and multi-line phone systems is essential
  • Strong customer service skills with a focus on client satisfaction
  • Time management abilities to prioritize tasks effectively in a fast-paced environment
