ABOUT THE ROLE

The Prefab Administrative Coordinator is responsible for delivering comprehensive administrative assistance to the prefab team. This includes time entry, assisting with project and inventory tracking, and serving as a liaison between team members and other departments to ensure smooth workflow and timely project completion.

WHAT YOU'LL DO

  • Process Weekly Time Entries: Accurately process weekly time entries for all nonexempt PreFab staff, ensuring compliance with company policies and labor regulations.
  • ERP System Management: Set up new jobs and phases in the ERP system to support project tracking and reporting needs.
  • Inventory Management: Update inventory records promptly upon receipt and shipment of materials to maintain accurate stock levels.
  • Billing Support: Assist with billing activities, including preparing and verifying invoices, as needed.
  • Consumables Coordination: Coordinate monthly consumable supply orders from all branches and compile related tracking and usage reports.
  • Fleet Invoice Management: Collect and manage monthly fleet invoices from all branches and ensure accurate entry into the ERP system.
  • Administrative Support: Provide general administrative support to the Office Manager, including document preparation, scheduling, and other clerical tasks as required.

WHO YOU ARE

  • High school diploma or equivalent
  • 1-2 years' experience in an administrative role preferred
  • Basic Proficiency with Microsoft Office Suite.
  • Understanding of Prefab operations and how it relates to the construction process is preferred but not required.
