Job Description:

Overview:

The Accounts Payable Specialist plays a critical role in ensuring accurate and timely processing of vendor invoices, expense reimbursements, and project-related billing activities. This position requires a detail-oriented professional who can maintain strong vendor relationships, collaborate across departments, and support month-end close and reporting processes.

Responsibilities:


•    Accurately code and process vendor invoices to the appropriate general ledger accounts and departments.

•    Assists in scheduling and executing vendor payments on time 

•    Reconcile accounts payable transactions and resolve discrepancies promptly.

•    Maintain collaborative professional relationships with vendors in conjunction with our mission statement.

•    Review employee expense reports for accuracy, completeness, and compliance with company policies; approve valid reports and ensure timely reimbursement.

•    Collaborate with the Accounting Team to ensure proper intercompany general ledger coding.

•    Partner with Billing team and Project Managers to upload AP Vendor invoices in the ERP system, ensuring correct project alignment, proper routing, and approvals in the paperless approval system.

•    Assist the Accounts Payable Manager with month-end close activities, including verifying all vendor invoices and employee reimbursements are recorded in the correct period.

•    Support the month end process by generating reclassifications to general ledger where required

•    Provide support for one-time, urgent, or special requests related to month-end responsibilities.

Qualifications:


•    2–3+ years of experience in Accounts Payable or related finance roles.

•    Experience with Deltek Vantagepoint highly desired.

•    Strong attention to detail, organization, and accuracy.

•    Excellent mathematical, analytical, and problem-solving skills.

•    Proficient in Microsoft Office Suite, with intermediate Excel skills.

•    Strong communication and interpersonal skills, with the ability to collaborate effectively across teams.

•    Ability to manage multiple priorities in a fast-paced environment and adapt to changing deadlines.
