Air Engineers is seeking an Accounts Payable Specialist to join our growing team This role is responsible for accurately processing and maintaining vendor invoices, payments, and financial records for Air Engineers. This role ensures that all invoices are properly authorized, coded, and paid in a timely manner while maintaining positive relationships with vendors and internal departments. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.

Essential Responsibilities

  • Review, verify, and process vendor invoices for accuracy, appropriate authorization, and proper account coding.
  • Prepare and process payments, including checks, ACH transfers, and credit card transactions, ensuring timely and accurate disbursements.
  • Serve as the main point of contact for assigned vendor inquiries, reconcile statements, and resolve discrepancies in a professional and timely manner.
  • Maintain accurate and up-to-date accounts payable files, ensuring proper documentation and compliance with company policies and procedures.
  • Support the accounting team during month-end close by providing necessary documentation and reporting.
  • Committed to being available the last week of the month to assist in monthly close process.
  • Identify opportunities to streamline payables processes and contribute to efficiency and accuracy improvements.
  • Ensure adherence to all internal controls, company policies, and relevant tax and regulatory requirements.
  • Other duties as assigned.

Qualifications

Minimum Education:High school diploma or equivalent; bachelor's degree in business or a related field is preferred, not required.

Minimum Experience:Previous experience in accounts payable of other accounting functions is desirable.

Skills and Competencies:

  • Strong communication and interpersonal skills
  • Excellent customer service skills
  • Ability to multi-task and manage time effectively
  • Proficiency using Microsoft Office Suite
  • Strong organizational skills and attention to detail

Working Conditions:

Work is normally performed in an office or warehouse environment with limited exposure to physical risk. Regular working hours with occasional extended hours are associated with this position.
