What You'll Do:

As the Administrative Assistant , you will play a key role in ensuring smooth office operations.

Your primary responsibilities include:

  • Fielding Calls: Answer the telephone, main-line, and direct calls accordingly.
  • Public Interaction: It will be essential to manage the walk-ins from B2B, cold calls, etc. that we receive from the public .
  • USPS Mail: Collect the USPS (mail) daily, most importantly on Monday from the weekend deliveries. Also reorder and print postage ) for outgoing mail.
  • Inter-Office Mail and Deliveries: Ensure inter-office mail is delivered to accounting.
  • Outgoing Mail and Packages: Create FED EX labels. Maintain supplies. Assist with packaging as needed. Work with IT and job sites for returning and sending equipment.
  • Office and Kitchen Supplies: Maintain supplies by monitoring, ordering, replenishing. From creating orders, obtaining approval, verifying the delivery, and place in designated areas. (examples: paper, water, coffee, coffee supplies, and others assigned). Ensure the kitchen is replenished, neat, and orderly.
  • Office Copying: Prior to the start of the day and throughout, it is requested this role ensures all copiers are full of paper and monitor during heavy printing periods. Monitor and reorder supplies as needed which include paper, toner, waste-bins through Kyocera.
  • Administrative Tasks: Complete Credit Applications; obtain signatures, and email to vendor and request supporting W9 forms.
  • Team Collaboration and Support: Work and collaborate with other departments. This can be anywhere from assisting with faxing, mailing, copying, ordering supplies. This is a supporting role.
  • Problem Solving: Tackle discrepancies with a smile, finding solutions and keeping things running smoothly.

  • Detail Oriented: Manage the Manpower sheet. Required to be updated for weekly meeting on Monday (and required to set up the Monday meeting). You have an eagle eye for detail and can spot a typo from a mile away will be essential.
  • Organizational Wizard: Office 5S is important. Your workspace and responsible areas are as neat as a pin—you believe that a tidy space equals a tidy mind.
