Executive Assistant
to support its senior leadership team.
Position Summary
The Executive Assistant will provide comprehensive administrative and operational support to C-level executives, ensuring seamless daily operations and effective time management. This role requires exceptional attention to detail, sound judgment, and the ability to handle confidential information with professionalism and discretion. The ideal candidate thrives in a fast-paced, high-performance environment and has experience supporting leaders within the financial or professional services industry.
Key Responsibilities
- Provide high-level administrative support to executives, including calendar management, travel coordination, and expense reporting.
- Act as a liaison between executives, internal teams, and external stakeholders, maintaining professionalism and discretion at all times.
- Prepare and edit correspondence, presentations, and reports.
- Coordinate and manage executive meetings, including scheduling, agenda preparation, materials distribution, and follow-ups.
- Assist with special projects, research, and data analysis as requested.
- Ensure all administrative processes are efficient and deadlines are consistently met.
- Handle confidential and sensitive information with the utmost integrity.
- Support firm-wide events, board meetings, and client engagements as needed.
Qualifications
- Bachelor's degree preferred; equivalent experience considered.
- 4+ years of executive support experience, preferably within financial services, consulting, or a professional services environment.
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint, Zoom, etc.).
- Exceptional written and verbal communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks and meet tight deadlines.
- High degree of professionalism, discretion, and judgment.
- Proactive mindset with the ability to anticipate executive needs and act independently.
