About the Role

We're looking for a proactive, resourceful, and detail-oriented Real Estate Assistant to support our growing team. This role is perfect for someone who loves taking ownership—someone who can take a to-do list, run with it, and independently find solutions before being asked.

You'll help keep our real estate operations organized and efficient, from managing listings and databases to coordinating vendors and client communications. The right candidate will thrive in a dynamic environment, think one step ahead, and bring structure to a fast-moving business.

Key Responsibilities

  • Take initiative on daily tasks—anticipate needs, propose solutions, and execute with minimal supervision.
  • Enter and update property data in the MLS and internal systems with accuracy and timeliness.
  • Track, organize, and maintain databases for leads, listings, and transactions.
  • Coordinate virtual open houses, showings, and vendor appointments.
  • Manage scheduling, email communication, and follow-ups with clients, partners, and vendors.
  • Conduct research on market comps, property details, and neighborhood insights.
  • Handle light personal administrative tasks (e.g., scheduling, ordering supplies, errands).
  • Support special projects and documentation as needed, often owning them end-to-end.
  • For hybrid candidates: deliver or pick up lock boxes, signs, or gifts; attend in-person meetings as needed.

Ideal Candidate

  • A self-starter who thrives on independence and accountability—no micromanagement needed.
  • Exceptionally organized, detail-driven, and comfortable managing multiple priorities at once.
  • Tech-savvy, familiar with CRMs, spreadsheets, MLS systems, and virtual collaboration tools.
  • Strong written and verbal communication skills; professional and personable in all interactions.
  • Solutions-oriented mindset—you don't just identify issues, you find ways to fix them.
  • Experience in real estate, property management, or administrative support preferred but not required.
