THE OPPORTUNITY
The Center's Facilities and Administration is seeking a Administrative Operations Assistant to provide vital support to the Administrative Operations team by helping maintain consistency and efficiency across sites. Reporting to the Deputy Director, the Administrative Operations Assistant assists with documentation, scheduling, communications, and routine tracking of policies, vendors, and insurance-related matters. The Administrative Operations Assistant should be detail-oriented, organized, and eager to support internal systems that help the organization run smoothly.

Responsibilities include but are not limited to
:

Policy & Procedure Support:

  • Provide assistance with formatting, updating, and organizing administrative policies and manuals (e.g., Emergency Action Plans, Fleet Guidelines, Site Operations Manuals);
  • Track version history of documents and communicate updates to relevant teams; and
  • Liaise with the Facilities team to implement and maintain daily and periodic safety inspections, including checklist and corrective action logs for project sites and fleet inventory

Risk Management & Insurance Processing:

  • Assist with gathering information for vehicle insurance claims and maintaining internal driver records; and
  • Help coordinate follow-up communications with the organization's insurance broker as needed

Vendor & Administrative Support:

  • Support basic vendor communications and help with document organization related to contracts and agreements (e.g., for water machines, copiers); and
  • Prepare internal billing forms, expense submissions, and reconciliation of receipts for administrative purchases

Scheduling & Coordination:

  • Schedule meetings for the administrative operations team and other interdepartmental meetings as needed;
  • Draft meeting agendas and track action items; and
  • Maintain basic tracking systems for deliverables and deadlines

General Administrative Support:

  • Help plan and provide logistics for team meetings and trainings;
  • Support special projects and ad hoc tasks as assigned; and
  • Additional tasks as necessary

Qualifications:

  • Associate degrees with 1-2 years of experience working in an office/human service field;
  • Strong communication and organizational skills;
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with project management tools (e.g., ) and Canva a plus;
  • Able to multitask and prioritize effectively in a busy environment;
  • Valid driver's license is valued but not required; and
  • Must be comfortable working across teams and with multiple departments

Position Type:
Full-time, Monday - Friday from 9:00am - 5:00pm. This is an onsite role.

Position Location:
Midtown Manhattan.

Compensation:
The compensation range for this position is $52,000 - $62,100 and is commensurate with experience.
